Executive Assistant to the Chief of the Strategic Business Unit (SBU) provides secretarial and administrative support, proactively anticipates needs, and drives improvements for the leadership team.
ResponsibilitiesStrategic
- Act as the point of contact between SBU Chiefs, executives, employees, clients, and external partners.
- Prioritize matters that require the SBU Chief’s attention and handle them directly when appropriate.
- Keep the SBU Chief informed of time‑sensitive and priority issues, ensuring timely follow‑up.
Operational
- Draft, review, and send communications on behalf of the SBU Chief.
- Organize and prepare for meetings, including gathering documents and managing logistics.
- Answer and relay phone calls, messages, and information to the SBU Chief.
- Track and drive the completion of key deliverables, following up on outstanding items.
- Collate presentations and data, liaise with various departments or business units.
- Maintain digital files, ensuring organization and accessibility.
- Coordinate and submit expense reports.
- Perform any other related tasks as assigned from time to time by management.
People Management
- Organize, execute, and assist with team activities (staff meeting agendas, all‑hands meetings, off‑sites, team social events).
- Diploma or bachelor’s in business administration or related field from a recognized university (or equivalent qualification).
- English and Arabic (preferred).
- Minimum 5+ years of relevant experience as an Executive Assistant, providing administrative and logistical support to a Chief Officer level.
- Solid understanding of IT solutions company with previous experience in a medium to large‑sized IT company.
- Proficiency in Microsoft Office (Excel, Word, PowerPoint).
- Familiarity with project management tools for tracking and supporting strategic initiatives.
- Ability to organize and manage data efficiently (budgets, reports, performance metrics).
- Comprehensive understanding of MS Office – Outlook, Excel, PowerPoint.
- Excellent skills in managing collaboration tools (Office 365, Google Suite, Slack).
- Strong data organization and performance tracking.
- Effective communication with stakeholders.
- Ability to multitask.
