Handle all types of day-to-day administration activities within engineering service departments including controlling the meeting schedules, issue weekly reports and other reports, handling required gate passes for contractors and visitors and documents approvals from all in charge management team.

Minimum Qualifications
  • B.Sc. in business administration from a recognized university.
  • Minimum 5 years Gulf state experience is mandatory.
  • Proficiency in English Language (Speak, Read, and Write).
  • 6 years work experience in refinery or petrochemical Oil and Gas plant.
  • Should have working experience in SAP (PM/MM) and MS Office.
  • Good understanding on safety requirements and applying safe work practices during scheduling.
Key Accountabilities
  • Arrange and coordinate the meetings for engineering services department requested by management.
  • Schedule appointments and coordinate arrangements for meetings and conferences.
  • Monitor and coordinate the department's training requirement, seminars, and annual leave.
  • Prepare the department's reports for the weekly management meeting.
  • Prepare the official documents within other departments and for external as requested.
  • Handle the IT requests from all ESD requesters.
  • Arrange the requested communications for visa arrangement, transportation, gate pass and official document renewals.
  • Maintain records of Department's office files in accordance with internal procedures.
  • Facilitate the signatories of department documents.
  • Capable of prioritizing tasks, multi-tasking, and time-management.
  • Speak and write proficiently in English.
