We are currently seeking a highly skilled Executive Assistant to the CEO for one of our companies in Doha, ready to join immediately.
Role OverviewThe Executive Assistant to the CEO is a senior executive support role responsible for ensuring the effective functioning of the CEO’s office across complex engineering, investment, and multi-jurisdictional activities.
This position goes beyond traditional administrative support. The Executive Assistant acts as a central coordination, prioritisation, and execution partner, managing information flow, tracking critical actions, and ensuring clarity, follow-through, and decision readiness across internal teams, contractors, consultants, and external stakeholders.
The role requires a high level of discretion, structured thinking, and the ability to operate confidently in technically complex and fast-moving environments.
Key Responsibilities 1. Executive Office Management- Manage the day-to-day operations of the CEO’s office, ensuring efficiency, structure, and responsiveness.
- Act as the primary gatekeeper for incoming communications, requests, and information.
- Prioritise matters requiring CEO's attention versus those that can be delegated or resolved independently.
- Prepare agendas, briefing notes, and pre-reads for meetings and calls.
- Track action items arising from meetings, correspondence, and project discussions.
- Ensure timely follow-up with internal teams, engineering contractors, advisors, and consultants.
- Maintain oversight of deadlines, deliverables, and dependencies that impact cost, schedule, or decision‑making.
- Proactively elevate delays, gaps, or unresolved issues to the CEO with clear summaries and options.
- Coordinate clarification cycles with contractors and consultants, ensuring questions and responses are clearly structured, documented, and tracked.
- Consolidate fragmented inputs (emails, spreadsheets, documents) into coherent summaries.
- Maintain records of clarifications, decisions, approvals, and revisions to ensure traceability and auditability.
- Ensure issues are framed clearly before being presented to the CEO for a decision.
- Draft, review, and manage professional correspondence on behalf of the CEO, including follow‑ups, requests, and confirmations.
- Ensure communications are concise, accurate, and aligned with the CEO’s intent and priorities.
- Liaise confidently with senior external stakeholders, including engineers, lawyers, bankers, regulators, and investors.
- Organise, maintain, and retrieve key documents, including contracts, technical submissions, presentations, and regulatory correspondence.
- Ensure version control, proper filing, and ease of access to critical information.
- Support the preparation and organisation of board, investor, and senior management materials.
- Actively protect the CEO’s time by ensuring meetings are purposeful and decisions are properly prepared.
- Identify inefficiencies, repetitive issues, or unnecessary escalations and propose process improvements.
- Support the CEO in maintaining focus on high‑value strategic, commercial, and technical matters.
- Exceptional organisational and prioritisation skills.
- Strong, structured thinking and attention to detail.
- Ability to operate calmly and effectively under pressure and high workload.
- High level of discretion, professionalism, and integrity.
- Ability to summarise complex discussions accurately and concisely.
- Confidence in communicating with senior professionals across technical, legal, and financial domains.
- Strong proficiency in Microsoft Office (Outlook, Word, Excel, Teams).
- Comfort working with task tracking, document management, and workflow tools.
- Ability to quickly learn and enforce structured processes.
- Proven experience as an Executive Assistant or similar role supporting senior executives (CEO, Founder, Managing Director, Partner).
- Prior exposure to project‑based, engineering, infrastructure, consulting, investment, or regulated environments is strongly preferred.
- Experience working across multiple stakeholders, consultants, or jurisdictions is an advantage.
- Proactive and self‑directed.

- Comfortable handling ambiguity and incomplete information.
- Professional presence suitable for senior‑level interactions.
