Responsibilities
- Handling all day to day management of all administrative support in connection with Board of Directors, Annual General Meetings, Audit and Risk Committee and all other Board and similar Committees
- Recording all the Corporate and Business Policies within the company’s centralised System
- Assisting in all necessary administrative support for internal briefings, awareness, communication and training in relation to corporate governance processes and procedures including but not limited to conflicts of interest, and gifts and benefits.
- Routine administration of the Conflicts of Interest, Ethics and Gifts and Benefits reporting, processes and procedures
- Assisting the Chief Legal Officer with the administration and preparation of reports, presentations and packs relating to quarterly and ad hoc Board, Audit & Risk Committee and other Board Committee meetings for the Group
- Acting as a reliable and accessible point of contact, responding to face-to-face enquiries, telephone calls, post and emails and forwarding messages and information as appropriate.
- Prioritising items and issues for immediate attention. Making judgments regarding those which need to be dealt with by the Chief Legal Officer and those which may be more appropriately dealt with by others. Taking appropriate action independently where possible.
- Keeping track of important activities, and the connections between them. Ensuring that follow-up actions and deadlines are noted, and that the Chief Legal Officer is prompted where needed.
- Deputizing for the MD and CEO’s Office Manager during their absence.
- Maintaining up-to-date contact details for external contacts.
- Translating English/Arabic/English documents including formal communication to and from Government Authorities, and recommending the suitable translation and editing correspondence, papers for meetings and other documents.
- Minimum Qualifications:
Bachelor’s degree preferred or equivalent qualification or experience - Minimum Experience:
3-5 years as Executive Secretary / Administrative / Personal Assistant working for a senior manager / Head of Department - Discretion and diplomacy

- Accuracy and attention to detail
- Self-motivated with the initiative to make progress without close supervision, and to take responsibility for decisions where appropriate
- Self-confident, with the ability to work effectively with strong, assertive personalities
- Able to maintain effectiveness under pressure and when faced with rapidly shifting priorities
- Resourceful, with good problem solving ability
- Flexible and resilient approach
- Fluency in written and spoken English and Arabic
