Position: Office Manager (m/f/d)

Our Client:

Our client, a fast-growing AI company working with world-class engineering talent from leading global AI labs, are hiring for an Office Manager / Executive Assistant to join their team.

This is a combined Office Manager and Executive Assistant role, ideal for someone who enjoys variety, ownership, and being the person who “just gets things done.”

You will be responsible for ensuring smooth day to day operations while providing critical diary and administrative support to the leadership team.

Your Responsibilities:
Executive Assistant / Diary Management
  • Full diary management for the CEO, including scheduling meetings, calls, and travel
  • Coordination of calendars across internal teams and external stakeholders
  • Managing priorities in a fast changing environment and proactively resolving clashes
Office & Operations Management
  • Day to day management of the Doha office
  • Office supplies, snacks, utilities, and general upkeep
  • Liaising with banks, payroll providers, and service vendors
  • Supporting onboarding logistics (access passes, documentation, equipment)
  • Booking travel, accommodation, and logistics for team members
  • Supporting team relocations, offsites, and international travel
  • Acting as the go to person for ad hoc operational tasks as they arise

Qualifications:
  • Minimum 3 years’ experience in diary management (essential)
  • Experience in a startup, scale up, VC, or fast paced environment preferred
  • Highly resourceful, proactive, and solutions driven
  • Comfortable with ambiguity and taking ownership without detailed instructions
  • Strong organizational and communication skills
  • Fluent in English
  • Positive, energetic attitude and strong cultural fit with a young startup team
  • Previous Office Manager or EA experience supporting senior leadership
  • Experience setting up or scaling office operations
  • Exposure to international teams and travel coordination
