We are looking for a highly organized and detail-oriented Proposal Support Coordinator to provide on-ground support for proposal submissions and tender management activities in Qatar. The role will act as a key liaison between local stakeholders and remote proposal teams, ensuring smooth coordination and timely submission of proposals.
Key Responsibilities- Provide on-ground support in Doha for proposal submissions managed remotely by the proposal team.
- Manage tender portal activities, including RFP purchases, document downloads, clarification tracking, and proposal submissions.
- Monitor and coordinate proposal-related communications received through the office reception and shared mailboxes.
- Ensure timely dissemination of client clarifications and submission requirements to relevant stakeholders.
- Handle physical submission requirements, including arranging signatures, printing, document compilation, and delivery coordination.
- Act as the local point of contact for tasks requiring in-country presence and office coordination.
- Support Arabic and English proposal requirements, including basic document reviews, formatting checks, and compliance verification.
- Track submission timelines and ensure all proposal deadlines are met.
- Maintain accurate records and archives of tenders, proposals, correspondence, and supporting documentation.
- Coordinate with internal teams to ensure complete and compliant proposal submissions.
- Bachelor's degree or equivalent qualification.
- 2–5 years of experience in proposal coordination, bid support, tender administration, or project coordination.
- Experience working with tender portals and procurement platforms is preferred.
- Strong administrative, coordination, and document management skills.
- Fluent in English;
Arabic language skills are highly preferred. - Proficiency in Microsoft Office, particularly Word, Excel, and PowerPoint.
- Strong attention to detail and ability to manage multiple deadlines simultaneously.
- Ability to work independently and coordinate with remote teams across different locations.
- Based in Qatar or holding transferable sponsorship is preferred.
- Exposure to government tenders, RFP submissions, or consulting/professional services environments.
- Experience supporting proposal teams, bid management, or tender submissions.
- Familiarity with local procurement portals and submission processes in Qatar.
