Summary
Provide coordination and administrative support to the Project Management Team (PMO), ensuring projects are tracked effectively, governance processes are followed, reporting is accurate and professional, and portfolio activities are aligned with timelines and standards. The role combines structured project coordination with strong reporting, documentation management, and stakeholder communication.
Key Responsibilities1) Project coordination & governance support
- Support the planning, tracking, and monitoring of projects across the portfolio.
- Coordinate PMO governance meetings (agenda preparation, logistics, documentation, and follow‑ups).
- Take accurate minutes during project and governance meetings, capturing key decisions, risks, actions, owners, and deadlines.
- Maintain project trackers, action logs, risk registers, and issue logs; follow up on updates with project owners.
- Ensure projects comply with PMO templates, processes, and reporting standards.
- Escalate overdue actions, risks, or reporting gaps to the PMO Manager.
- Assist in preparing project status reports, dashboards, and executive summaries.
- Consolidate project updates into weekly/monthly portfolio reports.
- Prepare and format PowerPoint presentations for senior management and steering committees.
- Maintain structured documentation repositories with proper version control.
- Ensure completeness and quality of submitted project documentation.
- Standardize templates and reporting formats across projects.
- Coordinate meetings, calendars, and communications between project teams and stakeholders.
- Track key milestones, deliverables, and deadlines; circulate reminders as needed.
- Support onboarding of new projects into PMO governance processes.
- Provide administrative and coordination support to the PMO Manager.
- Bachelor’s degree in Business Administration, Project Management, Engineering, or related field (or equivalent experience).
- 3–5 years of experience in PMO support, project coordination, or similar roles.
- Experience supporting multiple projects in a structured governance environment.
- Familiarity with project management methodologies (e.g., PMI, PRINCE2, Agile frameworks) is preferred.
- Strong project tracking and coordination skills.
- Excellent reporting and PowerPoint presentation skills.
- Strong analytical and organizational abilities.
- High attention to detail and structured documentation habits.
- Ability to manage multiple priorities and meet tight deadlines.
- Professional communication skills and stakeholder coordination capability.
- Discretion in handling sensitive project information.
- Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams).
- SharePoint / document management systems.
- Dashboard tools (preferred).
