We are supporting our client by hiring an experienced Procurement & Contract Support Officer to join their team.
Job Purpose Summary:
The Procurement & Contract Support Officer is responsible for supporting procurement activities related to non-core operational purchases within the company. The role manages purchase requests and purchase orders, supports vendor sourcing and price comparisons, assists in contract administration activities, and coordinates with the Finance Department to ensure procurement transactions comply with financial and governance requirements. This position contributes to efficient procurement operations and cost-effective purchasing practices.
Roles & Responsibilities:
- Purchase Requests & Purchase Orders Administration:
- Process and review purchase requests received from departments to ensure completeness and proper authorization.
- Prepare and issue purchase orders (POs) in accordance with approved procurement procedures.
- Maintain records of purchase requests and purchase orders for documentation and tracking purposes.
- Monitor procurement requests to ensure timely processing and delivery of goods or services.
- Ensure procurement documentation is properly filed and maintained for audit and reference.
- Vendor Sourcing & Supplier Coordination:
- Identify and source potential vendors for non-core operational purchases.
- Maintain and update a database of approved suppliers and service providers.
- Request quotations from vendors and support the evaluation of vendor proposals.
- Coordinate with vendors regarding pricing, product specifications, and delivery schedules.
- Support the development of competitive supplier options to ensure value for money.
- Cost Analysis & Procurement Comparisons:
- Prepare cost comparisons and quotation analysis to support procurement decisions.
- Evaluate supplier quotations based on pricing, delivery terms, and service quality.
- Provide cost comparison summaries for management review and approval.
- Support the identification of cost-saving opportunities in procurement activities.
- Maintain records of procurement evaluations and vendor selections.
- Contract Administration Support:
- Assist in the preparation and administration of procurement-related contracts and service agreements.
- Maintain contract records and monitor contract validity periods.
- Track contract milestones such as renewals, extensions, and expiration dates.
- Ensure contract documentation is properly archived and accessible.
- Support the General Services Manager in monitoring vendor contractual obligations.
- Finance Coordination & Procurement Governance:
- Coordinate with the Finance Department to ensure proper processing of procurement payments.
- Ensure procurement transactions comply with financial policies and internal controls.
- Provide procurement documentation required for payment processing and financial reconciliation.
- Support budget monitoring by providing procurement cost information when required.
- Assist in procurement audits and compliance reviews.
Skills:
- Technical / Functional
Skills:- Knowledge of procurement processes and purchase order systems.
- Experience in vendor sourcing and quotation evaluation.
- Understanding of contract administration basics.
- Familiarity with ERP systems (e.g., Odoo) and procurement modules.
- Ability to prepare price comparisons and cost analysis.
- Knowledge of compliance and documentation requirements.

Education:
Bachelor’s degree in Business Administration, Procurement, Supply Chain Management, or related field.
Certificates:
Professional certifications are an advantage, such as:
- CIPS (Chartered Institute of Procurement & Supply)
- Certified Professional in Supply Management (CPSM)
Computer Literacy:
- Computer literate.
- Proficiency in MS Office.
Languages:
English fluent.
Arabic is preferred.
Experience
- 5–7 years of relevant experience in procurement, purchasing, or supply chain support.
- Experience in corporate or service-based environments is preferred.
