Job Description Position Summary

The Procurement & Logistics Coordinator is responsible for sourcing materials, obtaining quotations, coordinating suppliers, processing purchase orders, tracking shipments, and ensuring timely delivery of materials required for company projects and operations.

The role focuses on procurement efficiency, supplier management, logistics coordination, cost control, and accurate reporting.

Key Responsibilities Procurement
  • Source and identify suitable local and international suppliers.
  • Request, collect, and compare quotations from multiple suppliers.
  • Prepare quotation comparison sheets and supplier evaluations.
  • Negotiate prices, delivery schedules, and payment terms.
  • Create and process Purchase Orders (POs).
  • Follow up with suppliers to ensure timely order confirmation and delivery.
  • Maintain supplier database and procurement records.
  • Monitor market prices and identify cost-saving opportunities.
Logistics & Shipment Coordination
  • Coordinate local and international shipments.
  • Follow up with freight forwarders, shipping companies, and couriers.
  • Track shipment status and provide regular updates.
  • Coordinate customs clearance documentation when required.
  • Ensure timely delivery of materials to warehouse, production, or project sites.
  • Resolve shipment delays and logistics issues.
  • Maintain shipment tracking records and delivery reports.
Inventory & Material Coordination
  • Monitor stock levels and material availability.
  • Coordinate with warehouse and production teams regarding material requirements.
  • Assist in inventory planning and replenishment.
  • Verify delivered materials against purchase orders and supplier documents.
  • Report shortages, damages, or discrepancies.
Documentation & Reporting
  • Maintain procurement files, quotations, supplier records, and purchase orders.
  • Prepare weekly procurement and logistics reports.
  • Update procurement trackers and shipment trackers.
  • Maintain accurate records of supplier performance and delivery history.
Performance Indicators (KPIs) Procurement KPIs
  • Minimum 3 quotations obtained for major purchases.
  • Purchase Orders issued on time.
  • Cost savings achieved through supplier negotiations.
  • Supplier response and delivery performance.
Logistics KPIs
  • On-time shipment delivery rate.
  • Number of shipment delays.
  • Accuracy of shipment tracking updates.
Administration KPIs
  • Accuracy of procurement records.
  • Accuracy of reporting.
  • Timely submission of procurement and logistics updates.
Qualifications
  • Experience in Procurement, Purchasing, Logistics, Supply Chain, or Warehouse Coordination.
  • Experience with RFQ, Purchase Orders, Supplier Coordination, and Shipment Tracking.
  • Strong negotiation and communication skills.
  • Good knowledge of Microsoft Excel.
  • ERP experience is preferred.
  • Experience in Qatar market is preferred.

Probation Period:
