The Proposal Coordinator is responsible for managing and coordinating the preparation, submission, and follow-up of business proposals, tenders, and bids. This role ensures timely and compliant responses to RFPs (Request for Proposals), RFQs, and other client requirements while collaborating with internal teams to produce high-quality, competitive submissions.
- Coordinate the end-to-end proposal development process from initial request to submission
- Review RFP/RFQ documents and summarize key requirements, deadlines, and deliverables
- Collaborate with internal departments to gather required inputs
- Ensure all submissions comply with client requirements and company standards
- Maintain version control and ensure consistency across all proposal documents
- Track submission deadlines and ensure timely delivery of proposals
- Assist in pricing coordination and commercial documentation where required
- Support post-submission activities such as clarifications, presentations, and negotiations
- Maintain records of submitted proposals and track outcomes (win/loss analysis)
- Continuously improve proposal processes, tools, and templates
- Bachelor’s degree in Engineering, Business Administration, or a related field
- 2–5 years of experience in proposal coordination, bid management, or a similar role.
- Experience working with tenders, RFPs, and government or corporate bid processes is an advantage.
- Strong organizational and time management skills.
- Excellent written and verbal communication skills. (English & Arabic)
- High attention to detail and ability to maintain accuracy under tight deadlines.
- Experience in ERP systems (Salesforce) or proposal management software
- Proficiency in Microsoft Office (Word, Excel, PowerPoint)
- Ability to work collaboratively across multiple teams and stakeholders.
