The Assistant Director of Finance is a senior middle-management leadership role responsible for directing the daily operations of the hotel finance department. Reporting directly to the Director of Finance, this position acts as the second-in-command, overseeing all core accounting functions—including general ledger, financial reporting, budgeting, accounts payable/receivable, payroll, cost control, purchasing, and cash management.
The primary objective is to maintain strict internal financial controls, ensure regional and international regulatory compliance, optimize working capital, and provide actionable financial analysis to maximize hotel gross operating profit (GOP). In the absence of the Director of Finance, this role assumes full operational responsibility for the department.
Key Responsibilities Strategic Leadership & Departmental Oversight- Supervise and coordinate the daily operations of the entire accounting team, providing clear direction, performance reviews, and professional development.
- Deputize for the Director of Finance during absences, representing the department in Executive Committee (ExCom) meetings and owner interactions.
- Enforce adherence to the Uniform System of Accounts for the Lodging Industry (USALI), corporate policies, local tax regulations, and internal audit requirements.
- Lead the month-end and year-end financial closing processes, ensuring accurate general ledger reconciliations and timely reporting.
- Prepare comprehensive monthly financial statement packages, profit and loss (P&L) statements, balance sheet reconciliations, and variance analysis reports.
- Review daily revenue reports, cost control reconciliations, and balance sheet accounts to identify and rectify anomalies promptly.
- Partner with the Director of Finance to prepare annual operating budgets, capital budgets (Cap Ex), and rolling 30-60-90 day financial forecasts.
- Oversee cash flow management, bank reconciliations, cash flow forecasting, and foreign exchange exposure to maintain optimal liquidity.
- Conduct monthly P&L reviews with operational Department Heads, analyzing cost drivers and recommending profit-improvement strategies.
- Design, implement, and monitor robust internal control systems to safeguard hotel assets, reduce fraud risks, and ensure revenue integrity across all outlets.
- Coordinate internal and external audit processes, leading team efforts to remediate any identified audit control gaps.
- Oversee tax compliance, including VAT/GST filings, corporate income tax, payroll taxes, and local municipal duties.
- Monitor Accounts Receivable aging reports and credit policies to minimize bad debt exposure, supporting the Credit Manager on difficult collection matters.
- Review Accounts Payable schedules to ensure maximum payment terms are leveraged while maintaining healthy vendor relationships.
- Track capital expenditure spending against approved budgets, overseeing asset tracking and project accounting.
