The Workplace Coordinator oversees company procedures, health and safety measures and day-to-day facility operation by managing suppliers. Support Nestle’s values by implementing office guidelines, "green" initiatives and providing regular feedback on the office performance. Main responsibility includes the monitoring of facility operations, PR/GR creation, and acting as main point of contact for all facility management related matters (both for internal and external customers).
Additionally, to organize and coordinate administration duties and office procedures, and assist in office guideline implementation and monitoring of compliance.
- Site level budget ownership and forecasting including utility cost, consumables and facility services (soft and hard services)
- Keep track of company assets and carry out annual asset verification (admin buildings)
- Issuing PR/PO and GR in relation to facility services to third party vendors
- Keep track of utility consumption and waste data from a sustainability point of view
- Lease management
- Initiate timely rent payment to Landlords and act as main point of contact
- Be aware of contract terms and conditions to initiate necessary actions
- Capital projects
- Able to manage small projects with low complexity (e.g. minor refurbishments and move) with the support of WS SME experts and WS Managers
- Act as primary interface with Landlord, local stakeholders and other support functions on site level (HR, IT, Security)
- Provide feedback from facility management perspective and actively participates in project activities
- Act as main point of contact for employee communication
- Understand local health and safety requirements and ensure compliance with local regulations and/or Nestle standards
- Monitor deliverables by Landlords (maintenance and repair of critical building assets, fire safety standards)
- Manage local workplace communication with internal Communication team, business and end-users
- Execute on Sustainability targets (if applicable), energy monitoring and promote sustainable building solutions
- Min. 2-3 years' experience in facilities management or office management
- Fluent/Advanced level of English language
- Good verbal, written and presentation communication skills with the ability to communicate with a wide variety of audiences.
- Client relationship and senior stakeholder management / client service experience is required
- Good interpersonal and time management skills
- Being able to work independently
