Purpose of Role
The Facilities Supervisor supports the Facilities Manager by overseeing daily facility operations, coordinating maintenance activities, supervising staff and contractors, and ensuring all facilities are safe, compliant, and operating efficiently. The role involves technical troubleshooting, project coordination, resource planning, reporting, and ensuring compliance with Qatar safety and fire regulations.
🧩 What You’ll Do Facility Operations & Issue Resolution- Collaborate with field personnel to identify, address, and resolve on-site issues quickly and effectively.
- Gather all maintenance concerns and facility-related issues, organizing them into a structured and prioritized work schedule.
- Respond promptly to maintenance emergencies involving electrical, HVAC, plumbing, carpentry, and other building systems.
- Run routine facility inspections to ensure all systems and equipment are functioning properly.
- Provide technical support, identify resource requirements, and guide team members during maintenance or repair activities.
- Engage with contractors to resolve issues arising during construction, renovation, or upgrade works.
- Prepare and update 2D & 3D layouts using AutoCAD and understand basic design and construction principles.
- Support the Facilities Manager in project planning, including preparing budget estimates, cost tracking, timelines, and resource allocation.
- Communicate project details clearly between contractors and internal teams.
- Prepare and present detailed reports on project status, risks, progress, and resource utilization to management.
- Use Microsoft 365 applications and FM software to maintain updated records of maintenance, contractor activities, and operational data.
- Gather and analyze facility-related statistics for reporting and process improvements.
- Maintain accurate documentation related to inspections, contractor work, AMC schedules, and material utilization.
- Ensure compliance with Qatar safety regulations and internal FM policies.
- Coordinate with AMC contractors to ensure all Fire Alarm & Firefighting (FAFF) systems are maintained, tested, and updated as required by law.
- Plan, monitor, and follow up on preventive and reactive maintenance activities.
- Ensure safe working practices for technicians, contractors, and freelance staff.
- Supervise technicians, facility assistants, and freelance staff working under the FM department.
- Coordinate with cleaning, security, pest control, and MEP service providers to ensure timely and effective service delivery.
- Monitor contractor performance and ensure adherence to scope, timelines, and safety standards.
- Provide coaching, support, and guidance to team members to enhance performance and skill levels.
- Diploma or Bachelor’s degree in Facilities Management, Engineering, or a related field.
- 3–5 years of experience in facility operations or maintenance supervision.
- Proficiency in AutoCAD (2D & 3D) and basic understanding of technical drawings.
- Strong knowledge of electrical, HVAC, plumbing, and general building maintenance.
- Familiarity with Qatar safety codes, FAFF regulations, and maintenance standards.
- Strong skills in Microsoft 365 (Excel, Outlook, Teams, SharePoint) and FM digital tools.
- Excellent communication, reporting, and organizational skills.
