About

The Role

In this role, you will serve as a trusted partner to the Senior Vice President (SVP), providing high level executive, administrative, and project coordination support that keeps the SVP’s office running smoothly and strategically. You will take ownership of managing project timelines, preparing executive‑ready materials, coordinating across functions, and ensuring that critical information flows efficiently and confidentially. You will play a pivotal role in enabling the SVP to stay focused on strategic priorities by anticipating needs, organizing complex details, and ensuring follow through on key initiatives.

Your work will span project tracking, executive communication, preparation of briefs and memos, and cross‑functional alignment—making you an essential driver of progress and structure within the Executive Office. Unlike traditional administrative roles, this position places you at the center of strategic planning, coordination, and execution, ensuring the SVP’s agenda moves forward with clarity and precision.

Responsibilities
  • Manage the SVP’s complex calendar, travel, meetings, and prioritization of agenda to ensure strategic time allocation.
  • Serve as the primary liaison between the SVP, senior leadership, external partners, vendors, and cross‑functional teams.
  • Ensure strict confidentiality and professional judgment in handling sensitive information.
  • Prepare, review, and assemble executive‑level documentation including memos, presentations, reports, and briefing materials.
  • Anticipate the SVP’s needs by gathering data, performing initial analysis, and ensuring readiness for key engagements.
  • Coordinate a wide range of confidential and non‑confidential projects, ensuring timelines, deliverables, and follow‑ups are tracked and executed.
  • Support departmental strategy execution by consolidating project inputs, monitoring initiative progress, and reporting to the SVP.
  • Coordinate leadership meetings, workshops, executive reviews, and strategic sessions including agenda creation and consolidation of materials.
  • Facilitate cross‑department alignment to support the SVP’s strategic priorities and organizational goals.
  • Manage special projects as assigned by the SVP, ensuring progress tracking, documentation, and stakeholder updates.
  • Support improvements to executive office processes to enhance workflow, communication, and information management.
  • Ensure compliance with corporate policies and guidelines within the SVP Office.
  • Maintain effective communication systems across internal and external stakeholders to support coordinated project execution.
Qualifications

To be successful in this role, you will bring the following:

  • Diploma, Bachelor’s Degree, or equivalent, with minimum 4 years of experience in an Executive Assistant, Office Manager, Project Coordinator, or similar role supporting senior leadership.
  • Proven ability to manage complex calendars, competing priorities, and high‑volume workflows under strict timelines.
  • Strong project coordination skills with the ability to track deliverables, follow up independently, and ensure timely execution.
  • Excellent communication, organization, and interpersonal skills, with demonstrated experience interacting at senior leadership level.
  • High attention to detail and strong ability to craft clear, well‑structured presentations, memos, and reports.
