Accounts Payable Clerk
Assist in the prompt and accurate payment of all expenses incurred by the district. Work under close supervision and follow established procedures to process purchase orders and invoices and maintain accounting records.
High school diploma or GED
One year of accounting experience at clerical level
Knowledge of basic accounting procedures
Ability to use personal computer and software to develop spreadsheets, databases and do word processing
Proficiency in the use of calculator and office machines, including copier, calculator, computer, typewriter, and printer
Strong communication, public relations, and interpersonal skills
Ability to interpret policy, procedures and data
Receive and process for payment all accounts payable invoices, requisitions, purchase orders, etc.
Match invoices with proper purchase orders; ensure completeness and accuracy of invoices and shipments.
Detect and resolve problems with incorrect orders, invoices, and shipments.
Contact district personnel and vendors to correct or obtain information needed.
Confirm balances in accounts for all requisitions.
Prepare and distribute paid invoices at designated times.
Conduct periodic checks of travel reports and food service orders.
Input accounting data using personal computer.
File office copies of checks, requisitions, invoices, and purchase orders.
Keep records up to date.
Maintain vendor files and set up new accounts when changes occur.
Communicate current status of invoices to campus staff.
Prepare correspondence using personal computer or typewriter.
Receive incoming calls, answer questions, and direct calls to the proper party.
Keep informed of and comply with state and district policies and regulations concerning primary job functions.
Maintain confidentiality.
Participate in staff development training programs to improve job performance.
Participate in meetings and special events as assigned.
Exercise professional judgment in absences; be punctual to work, meetings, and appointments.
Perform other duties as assigned by the immediate supervisor.
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively.
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
Occasional absences are understood but regular attendance is required.
While performing the duties of this job, the employee is regularly required to walk and talk or hear. The employee frequently is required to stand and sit. Repetitive hand motions and prolonged use of the computer are required. Specific vision abilities required by this job include close vision, distance vision, and depth perception.
This job requires the ability to handle and balance multiple demands at the same time. This position also requires meeting deadlines with severe time constraints, interacting with the public and staff and enduring irregular or extended work hours.
The employee must maintain emotional control under stress.
The employee regularly works indoors with frequent interruptions. The noise level is usually quiet.
