Summary
The Animal Control Clerk provides clerical and administrative support to the Animal Control department. This role ensures efficient daily operations by handling correspondence, maintaining records, assisting the public, and supporting field officers with administrative tasks.
Essential Duties and Responsibilities- Answer and route incoming calls; provide information to the public regarding animal control policies and procedures.
- Receive and process reports of animal-related complaints or incidents.
- Maintain and update databases for impounded animals, licensing, citations, and case files.
- Prepare and distribute notices, reports, and documentation related to animal control activities.
- Schedule appointments for adoptions, animal pickup, or field visits.
- Assist with intake, redemption, and adoption paperwork.
- Handle payments for licensing, fines, and fees; issue receipts and maintain accurate financial records.
- Coordinate with other city departments, veterinary clinics, and animal rescue organizations.
- Maintain office supplies and inventory related to administrative operations.
- Prepare agendas, take meeting minutes, and assist with departmental reports as needed.
- Ensure confidentiality and compliance with department policies and local ordinances.
- Responsible for full custodial maintenance of the Animal Control offices, including daily cleaning, sanitation, to ensure a safe and hygienic working environment.
- Maintains inventory of cleaning supplies and coordinates with management for timely replenishment.
- Enters and updates pet microchip information accurately into the Shelterluv animal management software, ensuring proper tracking and reunification capabilities.
- Prepares and submits small purchase orders and check requisitions in a timely and accurate manner, ensuring compliance with procurement procedures and budget guidelines.
- Responsible for preparing and submitting the non-hazardous waste manifest for disposal of deceased animal carcasses in accordance with applicable regulations and organizational procedures.
- Submit all vehicle repair request forms to the Public Works Department for processing and approval in a timely and accurate manner.
- High school diploma or equivalent required;
Associate’s degree preferred. - Minimum 2 years of administrative or clerical experience, preferably in a public service or animal welfare environment.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and basic data entry.
- Strong organizational and communication skills.
- Ability to handle sensitive situations with professionalism and empathy.
- Familiarity with animal control regulations and terminology a plus.
- Office environment with occasional visits to the animal shelter.
- Interaction with distressed members of the public and exposure to sensitive or graphic content related to animal incidents.
