Job Description Summary
  • The Health Information Management (HIM) Manager is responsible for overseeing all aspects of health records, ensuring their integrity, confidentiality, and accessibility in compliance with regulatory requirements. This role also involves staff management, training facilitation, and acting as a key liaison for internal and external customers.
Essential Functions
  • Manage and maintain all aspects of health records
  • Ensure confidentiality per policy and regulations
  • Ensure HIM guidelines compliance with regulatory and organizational needs
  • Staff Management:
    • Ensure HIM staff meet productivity, timeliness, and quality standards
    • Provide timely training as needed
    • Supervise staff including timekeeping, ETO requests, and performance evaluations
  • Reporting and Documentation:
    • Prepare status reports, materials, and documentation for management and committees
    • Assist in developing training materials for the department and organization
  • Record Processing:
    • Ensure timely and accurate handling of Epic and OnBase work queues
    • Act as the primary point of contact for inquiries regarding legal medical records
    • Review and release patient health records to authorized individuals or facilities
    • Produce records in court as requested by subpoena
Regulatory Compliance
  • Research and apply federal, state, and voluntary regulatory standards regarding privacy and security
  • Assist with compliance in legal, regulatory, and organizational record-keeping requirements
  • Plan for implementation of new state and federal regulations
  • Special Projects &

    Collaboration:
    • Assist with departmental special projects as requested
    • Collaborate with other departments (IT, Clinical, Billing, Revenue Cycle) to resolve complex issues
    • Work with Human Resources on HR-related matters
  • Resource Management:
    • Manage departmental resources: equipment, supplies, and technology
    • Identify opportunities for process improvement within HIM operations
  • Supervised Positions

    • Supervisor Medical Records/HIM System Administrator
Qualifications
  • Associate’s degree in health information technology, medical assisting, or related field
  • Bachelor’s degree in health information management, health informatics, public health, or healthcare administration
  • Registered Health Information Administrator (RHIA)
Minimum Experience Required
  • RHIT certification with 5 years of relevant experience
  • 2 years of supervisory experience
Minimum Experience Preferred
  • RHIA certification with 3 years of relevant experience
  • 3+ years of supervisory experience
Required Knowledge/Skills/Abilities
  • Maintain current certifications as required
  • Ability to motivate, lead, and develop a high-performing team
  • Excellent written and verbal communication skills
  • Strong organizational skills and ability to manage multiple priorities
  • Proficient in Microsoft Office and Electronic Health Record (EHR) systems (e.g., Epic, OnBase)
  • In-depth knowledge of medical documentation requirements and health record content
  • Understanding of healthcare regulations (HIPAA, HITECH Act, state laws)
  • Ability to work independently and demonstrate self-motivation
  • Detail-oriented approach to ensure accuracy and compliance
  • Commitment to patient confidentiality and data security
  • Adaptability to changes in work environment, technology, and regulations
