Job Description

SUMMARY: Provides administrative and secretarial support to the high school principal, administration, teachers and staff, composes correspondence, screens telephone calls and receives visitors to the school.

ESSENTIAL DUTIES & RESPONSIBILITIES
  • Screens incoming calls and takes and forwards messages as needed
  • Meets and directs visitors; provides information, direction and other services as needed
  • Schedules appointments and maintain calendars
  • Composes correspondence, reports, forms, certificates and other materials as directed; transcribes from rough draft, correspondence, bulletins, memorandums, and other materials
  • Creates, modifies and prints daily announcements
  • Reports changes of address and other student information to the New Student Center
  • Enters student absence information and other student data/demographics into computer system
  • Contacts parents regarding student absences
  • Understands, supports and interprets district and school rules, regulations and policies and assists staff with interpretation as needed
  • Researches information and provides assistance as needed to the Principal, teachers, staff, and students
  • Maintains school office files
  • Orders, and receives office and classroom supplies; sorts and distributes materials, supplies and mail; assists with preparation of bulk mailings as needed
  • Makes photocopies of materials as needed, or directed
  • Updates student Cumulative folders at the beginning and end of year
  • Assists with troubleshooting computer problems and setup of Power Grade and Power School
  • Assists with the preparation of the Master Schedule
  • Serves as a substitute nurse in absence of school nurse and health aide
  • May serve as a backup for various other administrative personnel when absent
KNOWLEDGE, SKILLS & ABILITIES
  • Ability to maintain confidentiality in all matters related to school business
  • Ability to operate standard office equipment
  • Ability to operate a personal computer, learn and utilize appropriate software programs
  • Ability to read and interpret documents such as procedure manuals and reports
  • Ability to communicate effectively verbally and in writing
  • Ability to apply common sense understanding to solve practical problems and deal with a variety of situations
  • Ability to work cooperatively and courteously with staff, students, parents and community members
  • Knowledge of applicable Federal and State laws, district procedures and Board policies
  • Ability to handle confrontation and conflict without an emotional response
QUALIFICATIONS & REQUIREMENTS

Education & Experience:

  • High school diploma or general education degree (GED)
    • One to two years office management experience
    • Secretarial training program certification or Associate’s degree preferred
    • Two or more years of secretarial or administrative assistant experience in a school setting preferred
  • Passing score of 70% or better on the Skill Check Assessment
  • Bilingual ability in Spanish and English preferred
  • Any equivalent combination of training, education and experience that meets minimum requirements

Computer Proficiency: Word standard, Excel standard and Outlook standard

PHYSICAL DEMANDS

While performing the duties of this job, the employee is regularly required to talk and hear, to use hands to finger, handle or feel objects or controls, use a keyboard or keypad. The employee occasionally is required to reach with hands and arms. The employee is frequently required to sit, and is occasionally required to stand and walk. The employee must regularly lift and/or move up to ten pounds and occasionally lift and/or move up to twenty-five pounds.

Specific vision abilities required by this job include close vision and the ability to adjust focus.

WORK ENVIRONMENT

Indoor office environment. The employee may be exposed to bodily fluids when acting as a substitute for the nurse or health assistant. The noise level in the work environment is generally moderate and may become excessively noisy tact with employees, students and public.
