Job SummaryThe Part-Time Administrative Assistant provides essential support to the Athletic Director in managing the day-to-day operations of the college's NJCAA/GCAA athletic programs. This role involves administrative, clerical, and communication duties that ensure the smooth functioning of the athletic department. The position is also designated as Campus Security Authority (CSA).
Responsibilities- Perform a variety of administrative and clerical duties, including data gathering, data management, correspondence, filing, calendar management, event scheduling, mail distribution, answering phones, organizing mail, and purchasing supplies.
- Adhere to all NJCAA/GCAA rules and regulations governing collegiate athletics.
- Advise faculty, staff, and students of policies or procedures.
- Act as a point of contact for other departments, students, faculty, customers, and outside agencies/vendors on behalf of department or unit administrators.
- Prepare reports, documents, and coordinate projects or events as assigned.
- Perform other duties as assigned by supervisor.
- Maintain pool and gym schedule, lifeguard schedule, and coordinate with Facility Management.
- Maintain accident and insurance records on athletes and submit claim forms to the insurance company.
- Submit travel plans and budget requests for recruitment and athletic competition activities to the Director of Athletics and assist in overseeing team budgets.
- High School Diploma.
- One year of work experience in a related field.
- Ability to establish and maintain effective working relationships with students, staff, faculty, and the public.
- Ability to work effectively with diverse student populations.
- Ability to maintain records and organize data for reports.
- Positive attitude and ability to interact courteously with coworkers, students, faculty, and staff.
- Effective oral and written communication skills.
- Planning and organizational skills.
- Proficiency with computers and related software.
- Interpersonal and public‑facing skills.
This is a part‑time, non‑benefited position. Compensation will be based on relevant experience and qualifications. The position may involve 1% – 24% travel.
