Part-Time Administrative Assistant
Pay: $15.00 per hour
Hours: Up to 20 hours per week
Location: Hybrid/Remote (as needed)
Position OverviewWe are seeking a dependable, organized, and compassionate assistant to support the daily operations of a growing mental health and wellness practice. This role serves as the first point of contact for clients and helps ensure a positive client experience while assisting with administrative, scheduling, and outreach activities.
The ideal candidate is professional, detail-oriented, comfortable communicating with clients, and able to manage multiple tasks independently.
Primary Responsibilities Client Support & Scheduling- Answer phone calls, text messages, and client inquiries.
- Schedule, reschedule, and confirm appointments.
- Follow up with missed appointments and cancellations.
- Respond to consultation and Employee Assistance Program (EAP) inquiries.
- Welcome and assist new clients through the onboarding process.
- Maintain professional and compassionate communication with clients.
- Respond to emails and voicemail messages.
- Organize and maintain client files and practice records.
- Assist with medical records requests and administrative forms.
- Maintain and update accepted insurance information through Alma and Headway platforms.
- Organize provider schedules and calendars.
- Perform occasional errands related to office or program supplies.
- Contact former clients for follow-up and re-engagement opportunities.
- Assist with community outreach efforts and referral relationship development.
- Help distribute flyers and promotional materials.
- Support wellness program promotion and event preparation.
- Create and schedule weekly social media posts.
- Assist with creating flyers, newsletters, and promotional materials.
- Support vendor events and community engagement opportunities.
- Help promote workshops, wellness programs, and practice services.
- Excellent verbal and written communication skills.
- Strong organizational and time-management abilities.
- Comfortable using email, scheduling software, social media, and Microsoft Office/Google Workspace.
- Ability to maintain confidentiality and professionalism.
- Self-motivated and able to work independently.
- Experience in customer service, healthcare, behavioral health, administration, or office support preferred.
- Experience with mental health or healthcare practices.
- Familiarity with EHR management platforms.
- Basic social media marketing experience.
- Experience with client scheduling and administrative support.
The successful candidate will help create a welcoming experience for clients, improve practice organization, support client retention, and assist with basic marketing and outreach efforts while maintaining excellent customer service.
