Early Childhood Child Find Secretary
Location:Early Childhood Annex
Terms of Employment: 12 Month Employee - full time
Salary: Current Secretary Salary Schedule
Position Overview:The Early Childhood Child Find Secretary will provide administrative support to the Child Find process and team, ensuring timely identification and evaluation of children ages birth to five who may have disabilities. This role involves coordinating screenings, maintaining records, and facilitating communication between parents, schools, and community agencies.
Key Responsibilities and Duties:
- Referral Coordination:
Assist parents/guardians, community members in initiating referrals for developmental screenings and evaluations. - Data Management:
Assist the child find team in maintaining accurate records of referrals, screenings, evaluations, and eligibility determinations in compliance with state and federal regulations. - Scheduling:
Assist in the coordination of appointments for screenings and evaluations, ensuring timely and efficient processes. - Communication:
Serve as a liaison between families, school staff, community, and external agencies, providing information and updates as necessary- Communicates in a positive manner to all staff, parents, and community members through phone calls, emails, faxes, and personal contacts as well as processing mailings
- Documentation:
Prepare and maintain confidential reports, correspondence, and other documents related to the Child Find process.- Maintains District records and files relating to this position
- Designs and manipulates excel spreadsheets, tables, and graphics as needed.
- Compliance:
Ensure adherence to all applicable laws, regulations, and policies regarding early childhood special education services - Various tasks necessary to ensure and facilitate smooth functioning of the office environment
- Follows procedures which implement operational policies.
- Processes and prepares purchase orders, payment vouchers, and all other documents.
- Obtains and maintains supplies and materials as needed.
- Uses a copy machine and all other equipment needed to complete assigned tasks.
- Places and receives telephone calls, records messages, and returns calls when requested.
- Collects information, organizes, types, and proofreads a variety of documents
- Accesses all appropriate databases and complete various statistical reports as needed.
- Works online to complete documents such as profiles or reports, gathers information, and accesses data as needed.
- All other duties as assigned by the supervisor
Qualifications:
- Education:
High school diploma or GED required;
Associate's degree or higher in a related field preferred - Experience:
Minimum of two years of clerical or administrative experience, preferably in an educational or early childhood setting. - Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Strong organizational and multitasking abilities
- Excellent written and verbal communication skills
- Strong interpersonal skills
- Ability to work with staff & public
- Regularity in attendance and promptness in reporting
- Strong working knowledge of computers & typing skills
- Demonstrate regularity in attendance & promptness in reporting
- Ability to maintain confidentiality and handle sensitive information appropriately
- Additional Requirements:
- Bilingual candidates are encouraged to apply.
- Experience with database management and scheduling software is a plus.
