Senior Administrative Specialist
The Office of the Inspector General (OIG) is an independent and nonpartisan agency that detects and deters fraud, waste, abuse, mismanagement, and corruption in state government. The Senior Administrative Specialist provides advanced administrative support to large, complex operations, possessing comprehensive knowledge of legal, regulatory, and programmatic requirements.
Essential Functions- Serve as a liaison with internal and external contacts to coordinate activities, respond to inquiries, and offer guidance on administrative matters.
- Create and format documents, develop presentations, manage schedules, and maintain databases and record‑keeping systems.
- Deliver excellent customer service in person, electronically, or in written communication.
- Apply and explain agency services, laws, rules, and regulations to support operations.
- Maintain record systems in compliance with retention schedules and retrieve information as needed.
- Assist higher‑level staff with decision making and monitoring key operational indicators by preparing reports and tracking performance.
- Review, process, and evaluate information for completeness and accuracy, resolving discrepancies as needed.
- Draft, manage, and distribute communications for public and internal use.
- Coordinate administrative elements of projects, including timelines, schedules, and documentation.
- Use automated information systems to enter, update, modify, delete, retrieve, and report on data.
- Order and maintain office supplies and equipment.
- Plan and coordinate meetings, hearings, conferences, and travel arrangements.
- May approve or recommend approval/denial of requests within established standards and guidelines.
- Perform other related duties as required.
- At least one year of experience performing administrative specialist work, including composing documents, drafting communications, managing workflows, assisting with research, and data management.
- At least one year of experience using standard computer software to create documents, develop spreadsheets, and maintain databases.
- At least one year of experience collecting, compiling, and evaluating data from multiple sources to prepare reports or administrative documents.
- Six months of experience providing guidance and consultation to management and customers on administrative matters.
