Role Overview

The Corporate Compliance Specialist is responsible for supporting the onboarding, ongoing compliance, and corporate administration of Acclime USA clients and their U.S. entities and subsidiaries. The role plays a key part in ensuring clients meet their statutory obligations while receiving a high standard of service and support.

This position requires a strong balance of compliance knowledge, client service, administrative coordination, and systems management. The role works closely with internal teams, external service providers, and international colleagues across Acclime’s global network to deliver efficient, accurate, and timely corporate compliance services.

Key Responsibilities Client Onboarding & Corporate Compliance
  • Support the onboarding and ongoing compliance of U.S. entities and corporate subsidiaries for Acclime clients
  • Assist with entity formations, registrations, annual filings, and corporate updates across multiple jurisdictions
  • Coordinate corporate changes such as registered agent updates, officer/secretary changes, and maintenance filings
  • Respond to client requests and inquiries in a timely and professional manner, escalating matters where appropriate
Client Administration & Mail Management
  • Manage client administrative services, including receipt, tracking, and forwarding of statutory and business mail
  • Maintain accurate records of correspondence, filings, and compliance documentation
  • Support general client administration activities to ensure smooth day-to-day service delivery
  • Liaise with registered agents, filing providers, and other third-party vendors to support client compliance needs
  • Assist with service renewals, disengagements, and coordination with internal finance and operations teams
  • Track vendor requests and follow up to ensure timely completion of services
Team Support & Workflow Coordination
  • Support team operations by assisting with task coordination, tracking deadlines, and updating work status across systems
  • Provide guidance and support to junior team members where required
  • Contribute to maintaining organized workflows and consistent service standards
Systems, Data & Administrative Support
  • Update and maintain client records within Acclime’s internal systems, including the CRM (Agility)
  • Ensure client data, filings, and documentation are accurate, complete, and up to date
  • Assist with general administrative work, reporting, and process documentation
  • Contribute to ongoing improvements in systems, templates, and internal processes
Internal & Global Collaboration
  • Work closely with the U.S. compliance team to deliver corporate compliance services
  • Collaborate with international colleagues across Acclime’s global markets to support cross-border client needs
  • Use digital tools such as Teams, Slack, Agility, and  to deliver efficient, coordinated services
Key Requirements
  • A minimum of two years' experience in corporate compliance, entity management, corporate administration, or a related professional services environment
  • Working knowledge of U.S. entity structures (LLCs, Corporations) and state-level compliance requirements
  • Strong organizational skills with the ability to manage multiple clients, deadlines, and priorities
  • High attention to detail with strong documentation and data management capabilities
  • Clear, professional communication skills with clients, vendors, and internal stakeholders
  • Comfortable working across CRM systems and digital collaboration tools
  • Proactive, service-oriented mindset with an interest in improving processes and service quality
  • Client-focused and service driven
