Summary Statement

This is the first level of the Correctional Record Series.

Upon satisfactory completion of department promotional standards and job requirements, employees may be eligible to be promoted to the next level.

Essential Functions
  • Verifies and reviews sentencing orders and translates orders length of time into calendar dates for earliest and latest possible dates for parole, for transfers to less stringent facility and release from custody; calculates/applies statutory 'good time', time already served, and meritorious time to reduce sentence.
  • Establishes and maintains inmate case files containing classification data, inmate conduct, confidential information, legal documents and miscellaneous data; prepares identification file for use by Correctional Officers escorting inmates outside of the institution.
  • Uses automated information systems to enter, update, modify, delete, retrieve/inquire and report on data.
  • Verifies that there are no outstanding charges, warrants or capias prior to inmate release.
  • Answers inquiries from inmates, their relatives, court personnel, police agencies, attorneys and counselors; testifies in court to provide data from inmate's case history file.
  • Serves out-of-state warrants to inmate and explains legal rights and options pertaining to warrant; explains terms and conditions of bail to inmate and obtains signature agreeing to terms.
  • Reviews legal documents for completeness, accuracy and compliance with state and federal laws.
  • Prepares various reports.
Job Requirements
  • Six months' experience in document processing such as reviewing and evaluating records for completeness and conformity with laws, rules, regulations, standards, policies, and procedures, resolving deficiencies, and tracking and monitoring activities.
  • Six months' experience in record keeping such as maintaining, filing, tracking, and retrieving physical, electronic, and digital documents, reports, or other information.
  • Coursework, training, and/or work experience in math such as addition, subtraction, multiplication, division, percentages, or decimals.
  • Coursework, training, and/or work experience in using an automated information system to enter, update, modify, delete, retrieve/inquire, and report on data.

  • Pre-employment drug testing:
    Upon a conditional offer, you must undergo pre-employment drug testing as part of the hiring process.
  • Upon a conditional offer, the applicant must undergo a pre-employment baseline two-step tuberculin skin test (TST) as part of the hiring process.
  • This position is a classification organized under an exclusive bargaining representative (labor organization) that has been elected by employees as their representative for collective bargaining and other applicable terms and conditions of employment, in accordance with Title 29, Chapter 59 and Title 19, Chapter 13 and 16. This position is covered by a collective bargaining agreement based on its individual terms.
  • All new hires are required to report to the Statewide New Employee Orientation (SNEO) on their first day of employment. Sessions are held at designated locations in Kent or New Castle County.
