Position Summary

The Events Manager serves as a project manager and team leader for assigned events, programs, expositions, and virtual events. The role is primarily responsible for the planning, execution, and evaluation of domestic programs and events but may have some opportunities for international projects. The Events Manager works closely with the Director, Events to create engaging member experiences that attract and deliver value to a diverse mix of global members, supporting revenue growth and member engagement.

They are responsible for managing vendors and contractors and collaborating with colleagues across various business units of the Association to manage and execute the event strategy. Responsibilities and decisions impact budget, association image, and membership. Events Manager is a role model for the association’s core values and competencies and supports a collaborative and innovative culture.

Position Responsibilities

Logistical Event/Program Management (50%)

  • Responsible for event/program planning, project management, and execution, including the creation of action plans, project timelines, venue sourcing, contract negotiations, site visits, audio/visual, food and beverage, hotel accommodations, venue and meeting rooms, third party contractors (transportation, destination management, general contractor, etc.), sponsorship logistics, and others as needed.
  • Solicits, analyzes bids, and provides supervision for contractors and temporary personnel for all aspects and stages of event/program logistics and planning.
  • Coordinates sponsorship/advertising needs for all assigned events/programs.
  • Maintains information on event website, including the schedule and other resources as needed.
  • Works with Education on the execution and evaluation of programming.
  • Works with Finance, IT and Member Services on registration execution.
  • Strategic Event Management
  • Accountable for the development of innovative, high value events and programs, including setting objectives/goals, developing program to support target audience needs and setting and keeping team aligned with measures of success for all assigned events and programs.
  • Leadership of teams executing on assigned events and programs, bringing together cross functional groups from inside and outside the organization to create an extraordinary attendee/exhibitor experience and enhance teamwork through use of internal business processes, functions and systems. Inform Director, Events of issues that need attention and makes time-sensitive decisions when needed.
  • Analyzes and evaluates all key performance indicators and metrics for events/programs, the execution processes and lessons learned, and makes recommendations accordingly to ensure continued success of events/programs.
  • Budgeting
  • Responsible for creating, maintaining and adhering to event budgets for a combined gross revenue of more than US1,500,000.
  • Signs purchase orders up to a US $50,000.00 maximum.
  • Audits and codes vendor invoices from all assigned events and programs.
  • Professional Development
  • Attend professional meetings, workshops, and seminars to expand personal and business competencies, as appropriate.
  • Actively participate in Association staff meetings, committees and purpose-driven task forces, as needed.
  • Be informed and up to date on research concerning industry trends, members’ needs and interests, and topics relevant to role and responsibility and actively apply that knowledge in day-to-day work.
  • Miscellaneous Position Information Knowledge, Skills & Abilities
  • Possession of a Bachelor’s Degree in Event Management, Planning, Project Management or related field or equivalent work experience.
  • 5 years’ experience in program and event planning, association exposition planning.
  • CMP or CMM desirable but not required.
  • Proficient computer skills such as Microsoft Word, PowerPoint, Excel, Zoom, and Teams. Familiarity with Sales Force a plus but not required.
  • Must be able to work independently as well as in a team setting, be flexible and meet deadlines.
  • Must have excellent interpersonal skills and presentation skills.
  • Must have strong analytical and budget management skills.
  • Measures for Success

    Business related travel required a minimum of 7 times per year.
