Your role in our success:

The Fleet Coordinator is responsible for supporting the daily operations, maintenance, compliance, and administrative functions of the organization’s vehicle fleet. This role ensures vehicles remain safe, reliable, cost‑effective, and compliant with regulatory requirements. The Fleet Coordinator partners closely with leaders, drivers, vendors, maintenance providers, and internal departments to optimize fleet performance and minimize downtime.

What you’ll be working on:
  • Coordinates vehicle assignments, availability, scheduling, and utilization.
  • Maintains accurate fleet inventory, status updates, and vehicle records.
  • Serves as the primary point of contact for drivers regarding fleet needs, issues, and procedures.
  • Ensures proper onboarding of new drivers, including vehicle issuance and training on fleet policies.
  • Schedules and tracks preventative maintenance, inspections, and repairs for all fleet vehicles.
  • Reviews maintenance reports, diagnoses common vehicle issues, and escalates concerns to vendors as needed.
  • Verifies completion and quality of work performed by mechanics and external service providers.
  • Minimizes downtime by monitoring vehicle health and proactively arranging service.
  • Maintains compliance with DOT, OSHA, and other applicable regulations (if applicable to your org).
  • Monitors and updates vehicle registrations, renewals, permits, and insurance documentation.
  • Conducts or coordinates vehicle inspections and audits to ensure safety standards are met.
  • Supports accident reporting, investigations, and claims processing.
  • Builds and maintains relationships with service centers, dealerships, leasing companies, fuel card providers, and other fleet vendors.
  • Reviews and validates invoices, ensuring accuracy of charges and completion of agreed‑upon work.
  • Tracks fleet expenses and supports budgeting, cost analysis, and optimization initiatives.
  • Maintains fleet management systems, databases, logs, and digital records.
  • Generates reports and metrics related to utilization, maintenance, cost, downtime, and trends.
  • Assists with vehicle acquisitions, disposals, and upfitting.
  • Supports process improvements to increase efficiency and fleet performance.
Who you are:
  • Strong organizational, multitasking and communication skills.
  • Proficiency with fleet management software, spreadsheets and digital tracking tools.
  • Ability to interpret maintenance reports and basic mechanical knowledge.
  • Knowledge of DOT compliance or commercial fleet operations.
  • Strong problem-solving and decision-making skills.
  • High school diploma or equivalent;
    Associate degree preferred.
  • 3 years of experience in fleet coordination, transportation, logistics or related operations role with vendor management experience.
  • Standard Driver’s License.
