Administrative Assistant (Construction Office) -- Part-Time
Location: Dover, NH (in-office preferred)

J.R. Heald Builders is a family-owned residential builder and remodeler serving New Hampshire's Seacoast. We re looking for an organized, proactive Administrative Assistant to help keep our office, projects, and communication running smoothly.
You are the organizational hub of the company. You support the owners, Project Manager, and field team by keeping paperwork, communication, scheduling, and documentation tight and consistent. You bring calm, clarity, and follow-through to a fast-moving construction office.
Key Responsibilities- Answer phones, manage inboxes, and route messages appropriately
- Support scheduling for the PM, owners, and field team
- Maintain job files: contracts, change orders, selections, permits, documentation
- Update and maintain Job Tread/CRM and internal tracking systems
- Assist with invoices, receipts, vendor statements, and basic bookkeeping support
- Coordinate client communication templates and follow-ups
- Maintain an organized, professional "front door" experience for clients and partners
- General office support as needed to keep projects and people on track
- Monitor and manage initial incoming leads and schedule associated meetings
- Information is easy to find and always up to date
- The team knows what s happening because communication is clear
- Paperwork, permits, and documentation never fall behind
- Clients and vendors feel professionally supported
- Prior administrative experience (construction office experience is a big plus)
- Strong organization and attention to detail
- Clear written and verbal communication skills
- Comfortable learning and using software systems (Job Tread a plus)
- Professional, dependable, and proactive
- Ability to manage multiple priorities calmly
- Employment Type:
W-2 employee - Part-Time with potential to evolve into Full-time work
Schedule: 20-30 hours per week (weekday daytime hours)
Pay: $22-$28 per hour (DOE)
