Overview
The Program Assistant provides administrative support to the Housing Services Team, greets and supports clients at the Housing Opportunity Center, and assists with data entry for the Coordinated Entry Program.
Education and Experience- Minimum High School diploma or GED, with at least two years of related clerical/administrative experience and a strong emphasis on customer service.
- Basic computer literacy including Excel, Word, and Outlook.
- First point of contact for clients utilizing the Housing Opportunity Center.
- Answer incoming calls professionally and promptly, direct them to appropriate employees, and answer general questions about Homeless Services, Housing Services, and agency programs.
- Assist with data entry in EmpowOR and HMIS or other systems as required.
- Process incoming client mail and ensure it is stored securely.
- Assist the Housing and Homeless services teams to provide resources to clients and perform any other duties or projects assigned by supervisor for the benefit of the program.
- Strong commitment to maintaining confidentiality.
- Adequate typing skills.
- Knowledge of multi‑line phone system.
- Excellent organization and time management skills, with ability to manage multiple tasks simultaneously, prioritize, and meet deadlines.
- Excellent problem‑solving skills.
- Knowledge of spreadsheets and some fiscal/financial education.
- Ability to work independently as well as in a team environment.
- Willingness to work flexible hours and travel when necessary.
- Knowledge of and sensitivity to the unique challenges faced by families living in poverty.
- Reliable transportation with 100/300 liability insurance coverage.
- Physical strength/endurance/mobility to perform standard daily duties (walking, sitting, lifting, driving to various sites).
- Pleasant, articulate, and able to communicate effectively with staff, volunteers, and families.
- Excellent communication skills and ability to follow verbal and written instructions.
- Ability to read, write, and convey instructions.
Valid driver’s license and insured vehicle (100/300 minimum coverage) for use on the job or an acceptable alternative, driving record check, criminal record check, and randomized drug screening.
