Job SummaryThe Administrative Assistant provides advanced administrative support to the Vice President of Medical Interventional Solutions. The role requires exceptional organization, discretion, professionalism, and the ability to manage multiple priorities in a fast‑paced environment while interacting with senior leaders and staff.
Essential Duties and Responsibilities- Prepare communications such as memos, emails, invoices, reports, and other correspondence.
- Maintain and coordinate Outlook calendars for the VP and designated leadership team members.
- Coordinate meetings (internal and external), manage agendas, advance materials, and mailings with attention to detail.
- Assist with regular communication and project needs of the VP, including drafting presentations, Word documents, and basic Excel files.
- Exercise sound judgment when handling sensitive, confidential, and proprietary information and interacting with executives, customers, and employees.
- Support logistics for leadership team meetings, including hotel reservations, transportation, catering, receptions, and off‑site meeting space.
- Prioritize conflicting needs and handle matters expeditiously, proactively, and follow through on projects to successful completion, often under deadline pressures.
- Facilitate domestic and international travel arrangements for the VP and designated leadership team members.
- Process and reconcile expense reports and reimbursements for the VP and designated leadership team members.
- Arrange meetings (town halls, department meetings, and others as assigned) on behalf of the VP.
- Manage departmental purchases using the corporate credit card and reconcile monthly statements in accordance with company policies.
- Maintain organized filing systems (physical and digital) and ensure timely access, retrieval, storage, and archiving of documents.
- Maintain memberships, subscriptions, licenses, and services for the VP.
- Develop and maintain efficient administrative processes and procedures.
- Perform other duties as assigned.
- Associate’s degree or equivalent experience in an administrative or executive assistant role.
- Minimum of 3 years of professional administrative assistant experience.
- Advanced proficiency in Microsoft Office suite;
Outlook, Teams, Word, Excel, and PowerPoint. - Proven professional written, verbal, and interpersonal communication skills.
- Proven ability to handle confidential information with discretion and demonstrate the highest level of customer/client service and response.
