Office Administrator/ Coordinator, Clerical, Data Entry, Executive Admin/ Personal Assistant
The Project Coordinator provides administrative support to the construction project team, ensuring projects run efficiently from initiation through closeout. This role is responsible for document management, communication coordination, scheduling support, and maintaining accurate project records. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment.
POSITION RESPONSIBILITIES:
- Has a sense of urgency, and is an adaptive self-starter with the ability to work under project circumstances ranging from nearly-independent to closely-managed
- Managing project documentation, and regulatory compliance.
- Create and update spreadsheets and special reports for internal use
- Process construction documents including subcontractor agreements
- Maintain and organize all project documentation, including contracts, submittals, RFIs, change orders, and closeout documents
- Ensure all project files are accurate, up-to-date, and stored in accordance with company standards
- Assist in preparing and distributing project reports, meeting minutes, and correspondence
- Track and log incoming and outgoing project documentation
- Coordinate communication between internal teams, subcontractors, vendors, and clients
- Assist with the preparation and distribution of contracts and subcontract agreements
- Track certificates of insurance (COIs), lien waivers, permits, and other compliance-related documentation
- Ensure required documentation is received, reviewed, and properly filed before project execution
- Support project teams with data entry related to budgets, invoices, and purchase orders
- Provide day-to-day administrative support to project managers and field teams
- Maintain and update project tracking logs and internal reporting tools
REQUIREMENTS:
- Associate’s or Bachelor’s degree in Business Administration, Construction Management, or related field preferred
- 1–3 years of administrative or coordination experience, preferably in construction or a related industry
- Strong organizational and time management skills with attention to detail
- Proficiency in Procore, Microsoft Office (Excel, Word, Project)
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment

- Must be authorized to work in the United States without current or future employer sponsorship
WORK ENVIRONMENT:
- Office-based role with occasional interaction with field personnel and job sites
- Standard business hours, Monday through Friday, 8:00AM - 4:30PM CST, with flexibility as project demands require
