Position: Small Group Journeys Sales Assistant

Job Description:

Position Summary Support Small Group Journey Travel Consultants by handling administrative-related functions in support of higher sales conversions and increased service levels. Coordinate with guests, Travel Advisors, and Destination Management Companies (DMC) regarding any booking-related functions.

Responsibilities and Accountabilities
  • Assist Small Group Journey Travel Consultants with custom extensions coordinated with DMC, producing custom extension itineraries.
  • Notify and collect payment for all bookings with balances past due.
  • Call guests/Travel Advisors to collect missing information and itinerary details.
  • Enter all data from Guest Information Forms into the reservation system, including passport, medical conditions and flight information.
  • Verify flight details coordinated with land services and adjust transfers as needed.
  • Identify gaps in services based on flight information and act accordingly.
  • Review Travel Consultant Quality Check and Insurance Reports and act promptly.
  • Prepare correspondence emails for the Travel Consultant when advised through Product Memos, etc.
  • Coordinate Signature Program Design Your Day follow‑up and send advising recaps to DMC.
  • Communicate directly with the guest/Travel Advisor, answering general questions not related to sales/revenue generated items.
  • Collaborate with all internal departments and DMCs to facilitate the booking process.
  • Assist Guest Relations when post‑tour issues require investigation into historical documentation.
  • Complete special projects or other related duties as required.
Skills and Abilities
  • Professional verbal and written communication skills and phone demeanor.
  • Strong multi‑tasking skills and flexibility required.
  • Detail‑oriented with excellent organizational skills.
  • Good judgment and problem‑solving skills.
  • Ability to work in a team environment.
  • Intermediate computer skills (Microsoft Office) and ability to quickly master new technologies.
  • Ability to perform basic mathematical computations.
  • Must read, write, and speak English.
Education & Experience
  • Travel School or college degree preferred.
  • High School diploma required.
  • Relevant travel industry experience preferred.
Special Requirements

Evening, weekend, and approved overtime may be required.

Salary Range

Hourly position with annual earnings of $40,000; with additional earning potential through sales incentives.
