Field Coordinator
The Field Coordinator plays a key role in supporting project execution by tracking project progress, updating schedules, assembling and auditing project completion packages, and preparing invoices. This role serves as a central communication point between internal teams and customers, ensuring accurate documentation, timely billing, and smooth coordination of field activities.
Responsibilities
- Track project progress and maintain up-to-date schedules for job start-ups and ongoing work.
- Provide regular updates on project status to all involved parties, including customers, project managers, project planners, and superintendents.
- Assemble and audit project completion packages to ensure accuracy, completeness, and compliance with project requirements.
- Prepare invoices and compile billing documentation for submission to the billing team.
- Enter hours from project planners and construction crews into Smartsheet accurately and on time.
- Create field project binders for construction crews, including all required project-related forms and documentation.
- Perform data entry in multiple systems, including Smartsheet, Sage, Microsoft applications, and the company's server.
- Organize and maintain filing systems for both electronic and hard copy documents.
- Document and retain project records in the server and in hard copy format according to established procedures.
- Communicate clearly and professionally with clients and internal staff to support project coordination and problem-solving.
- Support construction and project management activities by ensuring accurate data entry and timely information flow.
- Work proactively and independently to achieve team objectives while managing multiple tasks and deadlines.
Essential Skills
- Strong project coordination skills with the ability to track multiple projects and update schedules accurately.
- Excellent organizational skills with the ability to multitask and prioritize a wide range of responsibilities requiring accuracy and attention to detail.
- Ability to work proactively and independently while contributing effectively to team objectives.
- Strong oral and written communication skills for clear and professional interaction with clients and internal staff.
- High level of professionalism, demonstrating tact, courtesy, and discretion in all workplace interactions.
- Experience supporting construction and project management activities.
- Accurate and efficient data entry skills across multiple software platforms.
Additional Skills & Qualifications
- Experience using Smartsheet for tracking project hours and progress.
- Familiarity with Sage or similar accounting and billing software.
- Proficiency with Microsoft applications (such as Excel, Word, and related tools) for documentation and data management.
- Comfort working with server-based file systems for document storage and retention.
- Experience in filing and maintaining organized electronic and hard copy records.
- Experience in construction or project management environments is beneficial.

Work Environment
This role follows an early daytime schedule with a start time between 7:00 and 7:30 a.m. and a 30-minute lunch break. Work is primarily office-based, focused on data entry, documentation, and coordination tasks using tools such as Smartsheet, Sage, Microsoft applications, and server-based filing systems. The environment emphasizes organized record-keeping, timely communication, and consistent support for construction crews and project teams.
