POSITION SUMMARY:

Functions as an Administrative Assistant, performing a variety of administrative and clerical tasks primarily under the direction of Department Director. Responsibilities include accurate entry of fiscal, program, and contract information into Department databases; creation, analysis, interpretation, and follow-up of Veteran reports; maintaining effective relationships with Department staff and veterans.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
  • Provides clerical and office support, including redirecting calls, preparing and submitting correspondence, sorting and distributing department mail, updating department calendars and ordering office supplies and service for agency equipment.
  • Creates, analyzes, and interprets reports on Department activities. Notifies Staff and director of significant state and federal law changes.
  • Maintains and updates agency records as necessary.
  • Conducts bi-weekly payroll.

Administrative assistant completes these additional tasks within the Department:

Personnel:
  • Collects and executes all county, state, Civil Service and union required personnel actions under the direction of department staff.
  • Files and submits burial reimbursement requests as needed.
  • Prepares county payroll reports and distributes paychecks to employees.
  • Prepares and updates agency organizational chart.
Fiscal:
  • Corresponds with Controllers and finance personnel regarding account information as necessary.
  • Submits check requests, donation checks, cash donations and any fiscal needs to the appropriate departments.
  • Conduct journal entries as needed.

• Such training as may have been gained through graduation from a two year college or university, or any equivalent combination of experience and training.
