Overview
Salary: $83,000 - $105,000 (depending on experience and skills)
Our client, Incite Tax, is seeking an Executive Assistant (EA) to work closely with the CEO as a trusted partner and right-hand support. This role goes beyond task execution and requires sound judgment, strong organizational skills, and the ability to bring structure to a fast-moving environment.
The ideal candidate is highly organized, proactive, and thoughtful about how the CEO’s time is spent. You’ll support the CEO and Leadership Team, manage priorities, and help improve processes that keep the business running smoothly.

Responsibilities / What You’ll Do- Executive Calendar Management:
Manage the CEO’s schedule with high judgment; strategically balancing meetings, deep-work buffers, and shifting business priorities. - Email Management:
Own the CEO’s inbox. Triage incoming messages, draft/send responses on their behalf, and filter out low-value noise to ensure critical communications are surfaced immediately.
This is a central, high-priority function of the role. - Strategic Gatekeeping:
Act as the primary filter for the CEO’s time and attention; evaluating requests, setting firm boundaries, and redirecting inquiries to the appropriate leads. - Proactive Operations:
Anticipate logistical needs and potential conflicts before they arise, including complex travel arrangements, deadlines, and operational bottlenecks. - Stakeholder Coordination:
Serve as a central hub for internal teams, leadership, and external partners to drive clarity, alignment, and follow-through on key initiatives. - Office & Facility Ownership:
Act as the primary point of contact for the Lindon office. Lead building management, vendor relations, and tenant communications to resolve issues independently. - Administrative Excellence:
Provide high-level support to the Leadership Team, maintaining internal workflows, documentation, and post-meeting execution. - Process Optimization:
Continuously identify and implement systems to improve executive efficiency and organizational health.
- C-Suite Support
Experience:
Minimum of 5+ years of experience of supporting a CEO or C-level leader in a high-accountability, high-pace environment where discretion and sound judgment are non-negotiable. - Demonstrated Inbox Mastery:
Extensive experience managing an executive inbox. You must be comfortable prioritizing, drafting, and sending responses, not simply monitoring or flagging messages. - Adaptive Communication:
Strong written and verbal communication skills, and a good sense for how to communicate differently with partners, vendors, and internal teams. - Business-Minded & Operationally Aware:
You understand how time management and execution connect directly to business outcomes and company profitability. - High-Stakes Reliability:
Calm and steady under pressure; able to handle urgent, ambiguous, or confidential situations with total integrity and professionalism. - Organizational Excellence:
Highly detail-oriented with the ability to manage competing priorities and ensure that nothing "falls through the cracks." - Relationship Management:
Skillful at building rapport across leadership, staff, and external partners to move issues forward efficiently. - Facility & Vendor Coordination:
Comfortable owning building-related escalations and tenant communications without requiring this to be your primary execution focus. - Continuous Improvement: A natural inclination to identify inefficiencies and streamline processes to improve how work gets done.
