Position: Executive Assistant / Office Managment / Appointment Scheduler

We are seeking a dynamic and highly organized Executive Assistant/Office Manager to join our team. This vital role combines high-level administrative support with comprehensive office management, ensuring smooth daily operations and seamless executive functions. The ideal candidate will thrive in a fast-paced environment, demonstrating exceptional organizational skills, proactive problem-solving, and a positive attitude. Responsibilities
  • Provide comprehensive executive administrative support, including managing calendars, scheduling meetings, and coordinating appointments using tools such as Microsoft Outlook Calendar and Google Workspace.
  • Handle complex travel arrangements, prepare itineraries, and manage expense reports with precision using bookkeeping software like Quick Books.
  • Oversee office operations by managing supplies, coordinating maintenance, and supervising front desk activities to ensure a welcoming and organized environment.
  • Assist with event planning for company meetings, team‑building activities, and client events, ensuring all logistics are handled efficiently.
  • Manage correspondence through phone etiquette, email communication, transcription, proofreading, and data entry tasks to maintain clear and professional communication channels.
  • Support project coordination efforts by tracking deadlines, preparing reports, and facilitating collaboration across departments.
  • Maintain accurate filing systems—both digital and physical—and ensure confidentiality of sensitive information at all times.
  • Develop and deliver KPI reports on a daily basis, including job costing.
  • Write and Edit SOPs and deliver to team members
Qualifications
  • Proven experience in office management or executive administrative support with a minimum of two years of relevant experience.
  • Strong organizational skills with the ability to multitask effectively in a fast‑paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and familiarity with Microsoft Outlook Calendar.
  • Experience with bookkeeping software such as Quick Books and tools like Docu Sign for document signing processes.
  • Excellent phone etiquette, written communication skills including proofreading and transcription abilities.
  • Demonstrated ability to handle clerical tasks such as filing, data entry, and front desk responsibilities efficiently.
  • Knowledge of event planning, project coordination, and office management best practices.
  • Technical aptitude with multi‑line phone systems, data management tools, and general computer literacy.
