Position: Workplace Coordinator / Office Coordinator

Our client provides automated, cloud-based software for financial operations, and seeks an accomplished Workplace Coordinator.

  • Work Arrangement:
    Onsite, 5 days per week (may require occasional after-hours, evenings, or weekends)
Job Overview:

The Workplace Coordinator plays a key role in creating and maintaining a welcoming, well-organized workplace environment for employees, vendors, and guests. This position supports daily workplace operations, facilities coordination, and onsite events while ensuring a positive and productive employee experience.

The ideal candidate is customer-service focused, highly organized, and able to manage multiple priorities in a fast-paced office environment. This role requires strong communication skills, attention to detail, and the ability to collaborate with cross-functional teams to support workplace operations.

Required Skills:
  • 1–3 years of workplace, hospitality, or related experience.
  • Experience in hospitality, office operations, or workplace services environments.
  • Strong interpersonal and communication skills with the ability to collaborate across teams.
  • Familiarity with workplace tools such as Slack, Jira, and Envoy.
  • Comfortable working in a professional office environment.
  • Energetic, positive attitude with a strong customer-service mindset.
  • Strong problem‑solving skills and ability to adapt quickly to changing priorities.
Job Responsibilities:
  • Deliver a high‑quality workplace experience for employees, vendors, and guests.
  • Interact professionally with onsite vendors, employees, and visitors.
  • Manage multiple requests while maintaining a customer‑first mindset.
  • Maintain clear and consistent communication with stakeholders across the business.
  • Coordinate catering vendors in collaboration with internal teams and security.
  • Set up and break down onsite events such as company meetings and team offsites.
  • Assist with special administrative projects and ad‑hoc tasks as needed.
  • Support preventative maintenance duties and elevate facilities issues to the Workplace team when necessary.
  • Ensure building storage areas remain organized and compliant with storage guidelines.
  • Manage and operate the Workplace Jira ticketing portal.
  • Receive, sort, and distribute incoming mail and package deliveries.
  • Maintain office supply inventory for copy rooms and conference rooms, including ordering and organizing supplies.
  • Assist with budget tracking and oversight for workplace‑related activities.
  • Support facilities operations during emergency situations, including building evacuations when required.
  • Lift and carry parcels, packages, and office items up to 25 lbs as needed.
Preferred Qualifications
  • Consistent onsite availability during business hours.
  • Ability to work occasional evenings or weekends when required.
  • Prompt and timely responses to workplace requests and communications.
  • Ability to elevate communications during facility‑related emergencies.
  • Willingness to assist during emergency incidents such as building evacuations.
  • Strong English communication skills (written and verbal).
  • Ability to thrive in a fast‑paced, collaborative environment.
