Client Services Coordinator

(Administrative Support + Client Coordination)

We are seeking a highly organized, detail-oriented professional to support our consulting team in managing client deliverables, communications, and internal operations.

This is a fully in-office position based Draper, Utah. Because of the collaborative nature of our work and the coordination required across our consulting team, this role is not remote or hybrid.

This role is ideal for someone who thrives on organization, tracking multiple tasks simultaneously, managing leadership calendars, professionally communicating through email, and ensuring nothing falls through the cracks.

You will work closely with our consulting team and leadership to help coordinate client projects, maintain organization across multiple work streams, and support day‑to‑day operational needs.

This is a client‑facing coordination role, focused on ensuring our consultants and clients stay aligned, prepared, and organized through our Day‑to‑Day Services and internal CRM system,

Responsibilities What You’ll Do Calendar Coordination
  • Manage calendars and scheduling for internal and external client meetings
  • Coordinate meeting logistics, agendas, meeting minutes and follow‑ups
  • Track action items and ensure timely completion in a fast-paced healthcare consulting environment
Email & Communication Management
  • Manage emails based on HLX standard email protocol and through
  • Track client communication threads and ensure timely responses
  • Help organize and maintain email records and documentation through our internal documentation processes and folder systems
Client Deliverable Coordination
  • Assist with preparing client presentations, meeting materials, and reports
  • Maintain organized records of client deliverables and documents through our internal Follow Up Doc and CRM processes

    Ensure materials are prepared and reviewed ahead of client meetings
  • Assist with Managing the Client Schedule of Services and deliverables across internal departments
Project & Task Tracking
  • Track multiple client projects simultaneously
  • Maintain task lists and ensure deadlines are met
  • Coordinate internal teams to keep projects moving forward
Office & Operations Support
  • Maintain internal organization systems and documentation
  • Support operational workflows and process improvements
  • Help ensure the team stays organized across all client work
What a Typical Day Looks Like

Our team operates with a strong focus on organization, communication, and preparation. Successful team members typically maintain daily habits such as:

  • Reviewing calendars and preparing for upcoming meetings on a daily basis
  • Ensuring work blocks and preparation time are scheduled appropriately
  • Reviewing internal task boards via  to track projects and deadlines
  • Preparing agendas and notes ahead of meetings
  • Taking detailed meeting notes and identifying action items
  • Turning action items into trackable tasks and follow-ups
  • Ensuring client communications and next steps are clearly documented
