Job Summary:
Franklin Covey’s Education Division is seeking a reliable, detail-oriented RFP Assistant to support time-sensitive proposal submissions. This role is responsible for printing, obtaining signatures/notarizations as required, assembling, binding, and shipping completed proposals to meet strict RFP deadlines. Ideal candidates are organized, technically comfortable with Microsoft, Google, and PDF editing tools, and able to work independently.
- Print final proposal packages to specification (formatting, pagination, color/BW, and quality control).
- Assemble materials: collate pages, insert exhibits, apply covers, insert tabs, and ensure proper pagination/order.
- Acquire required signatures and arrange notarizations when needed (coordinate with signers and notary).
- Bind proposals using in-house binding equipment (comb, coil, thermal, or similar).
- Prepare shipping: create Fed Ex labels, schedule pickups or drop-offs, and ensure timely dispatch of packages.
- Track shipments and promptly share tracking information with the RFP team; follow up to confirm on-time delivery.
- Maintain accurate logs/records of submissions, tracking numbers, delivery confirmations, and copies of shipped proposals (physical and scanned digital copy saved to the designated repository).
- Ensure proposal packages meet customer and submission site requirements (page limits, formatting, staple/fastener restrictions, etc.).
- Manage proposal supplies inventory (covers, binding combs, paper, envelopes) and request restocks as needed.
- Protect confidentiality and security of proposal content at all times.
- Communicate proactively with the RFP Team and proposal authors about status, issues, and timelines.
- Manipulate and move supplies and boxes that may weigh 25+ lbs.
- High school diploma or equivalent
- Experience in an administrative or client support role
- Prior experience supporting RFP/proposal processes or contract submission workflows
- Ability to work independently with minimal supervision and elevate issues when needed.
- Strong written and verbal communication skills; ability to follow instructions and checklists precisely.
- Proven attention to detail and accuracy under deadline pressure.
- Proficiency with Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets, Drive), PDF editing software (Foxit), and company document repositories
- Hands‑on experience operating printers, copiers, and binding equipment; ability to learn specific office machines
- Familiarity with Fed Ex shipping procedures, online label creation, and carrier pickup scheduling.
