As we continue to scale, we are seeking a seasoned Vice President of Documentation to lead and oversee our documentation and funding execution process with precision, efficiency, and compliance.
OverviewThe Vice President of Documentation plays a critical leadership role in ensuring all transactions are documented accurately, compliantly, and efficiently to support timely funding. This position owns the end-to-end documentation function and serves as a key partner to Sales, Credit, Operations, vendors, and funding sources.
You will be responsible not only for hands-on document preparation and review, but also for process oversight, risk mitigation, and continuous improvement of documentation workflows as the company grows.
Key Responsibilities- Oversee and manage the preparation, review, and execution of all lease and loan documentation
- Ensure all transactions align with approved credit terms, funding conditions, and internal policies
- Serve as the final documentation authority prior to funding
- Maintain compliance with legal, regulatory, and funding-source requirements
- Review and manage Master Lease Agreements, amendments, schedules, and UCC filings
- Identify and mitigate documentation and funding risks proactively
- Partner closely with Sales, Credit, and Operations teams to resolve documentation issues efficiently
- Coordinate with vendors, customers, and third-party originators to obtain required documentation and signatures
- Act as a subject matter expert on lease structures and documentation requirements
- Ensure accurate tracking, electronic filing, and audit readiness of all documentation
- Support funding execution, collateral verification, and post-closing requirements
- Contribute to workflow optimization, technology adoption, and scalability initiatives
- Assist in developing documentation standards, best practices, and training as the company grows
- Provide leadership insight on documentation, risk management, and process improvements
- Minimum 5+ years of experience in equipment leasing, commercial finance, or lease documentation
- Demonstrated experience creating, reviewing, and closing complex financial transactions
- Strong understanding of lease structures (FMV, $1 Buyout, TRAC, etc.)
- Experience with Master Lease Agreements, amendments, UCC filings, and collateral verification
- Familiarity with credit memos, funding conditions, and risk assessment
- Proficiency in MS Excel, Word, and Outlook
- Experience with Docu Sign, Salesforce, or similar CRM/document workflow systems
- Background in risk management or legal review of lease terms preferred
- Exceptional attention to detail with strong organizational and time-management skills
- Excellent verbal and written communication skills
- Ability to handle confidential information with discretion and professionalism
- Proven problem-solver with a proactive, solutions-oriented mindset
