About the role
  • We are currently looking for a full‑time Patient Care Coordinator for our Draper, UT location
    . Qualified candidates will possess exceptional customer service and listening skills, as this is the first point of contact for our patients.
  • This position assists with scheduling appointments, maintaining accurate records, and ensuring patient accounts are current and up to date.
  • This role also provides high quality insurance benefit knowledge, billing services, and administration support to our patients and providers.
Essential Duties and Responsibilities
  • Provide patients with an exceptional care experience, ensuring a Net Promoter Score (NPS) greater than 80.
  • Coordinate and optimize clinic scheduling to maintain full and efficient appointment flow while meeting access standards.
  • Serve as the primary point of contact between patients, providers, and internal teams to ensure continuity of care.
  • Facilitate all stages of the patient care journey, including scheduling, documentation, billing coordination, and communication.
  • Manage patient inquiries promptly and compassionately across multiple channels (phone, email, voicemail, or portal).
  • Support accurate billing processes, collections, and accounts receivable activities in partnership with the billing team.
  • Participate in daily huddles and weekly meetings to ensure clear communication and workflow efficiency.
  • Track and act on patient feedback and Net Promoter data to enhance service delivery.
  • Identify process improvements and share actionable recommendations to improve clinic operations.
  • Uphold confidentiality and patient rights in all interactions, maintaining compliance with HIPAA and organizational standards.
  • This is an in person role at our Draper, UT clinic
What You’ll Do
  • Provides a warm welcome to patients and visitors, in person or on the telephone; answering or referring inquiries.
  • Obtains revenue by recording and updating financial information; recording and collecting patient charges; controlling credit extended to patients.
  • Maintains patient accounts by obtaining, recording, and updating personal and financial information.
  • Optimizes patients’ satisfaction, provider time, and treatment room utilization by scheduling appointments in person or by telephone.
  • Keeps patient appointments on schedule by notifying provider of patients’ arrival.
  • Comforts patients by anticipating their anxieties, answering patients’ questions, and providing resources if patient has a later concern.
  • Assists with submission of claims by making insurance benefit calls and reviewing benefits with patients.
  • Maintains business office inventory and equipment by checking stock to determine inventory level.
  • Protects patients’ rights by maintaining confidentiality of personal and financial information.
  • Maintaining the reception area.
  • Other duties as assigned.
Qualifications
  • Previous experience in medical administration/reception position required.
  • High school diploma/GED required.
  • Strong interpersonal skills and focus on customer service.
  • Excellent verbal and written communication skills.
  • Detail oriented and self‑motivated.
  • Must be able to multi‑task and work well with a team.
  • Reliable, professional and friendly.
  • Computer and technology proficiency.
  • AOR of TMS technician.

Education:

High school or equivalent (Required)

  • Medical office experience: 3+ years (Required)
  • Medical insurance: 3+ years (Required)
  • Appointment scheduling: 3+ years (Required)
