Overview

The Front Office Receptionist plays a crucial role in the day-to-day operations of our organization, acting as the first point of contact for visitors, clients, and employees. As the face of the company, the receptionist is responsible for offering a warm and welcoming environment while efficiently managing all front-office operations. The ideal candidate will have excellent communication and organizational skills, be detail-oriented, and have the ability to multitask.

Responsibilities
  • Greet and welcome guests as they arrive at the office.
  • Answer and direct incoming phone calls to the appropriate personnel.
  • Maintain and organize the reception area to ensure a tidy environment.
  • Manage appointment scheduling and confirm meetings for staff members.
  • Assist visitors by providing accurate information and necessary assistance.
  • Receive, sort, and distribute incoming mail and deliveries.
  • Maintain security by following procedures and controlling access via the reception desk.
  • Monitor and ensure that the inventory of office supplies is up to date.
  • Prepare and maintain documents, spreadsheets, and presentations for various meetings.
  • Assist with various administrative tasks as assigned by management.
  • Coordinate with facilities management for maintenance and repairs when required.
  • Handle sensitive information in a confidential and professional manner.
Requirements
  • High school diploma or equivalent required; associate degree preferred.
  • Proven work experience as a receptionist, front office representative, or similar role.
  • Proficient in Microsoft Office Suite and capable of learning new software applications.
  • Strong organizational and multitasking abilities with attention to detail.
  • Excellent verbal and written communication skills are mandatory.
  • Ability to be resourceful, proactive, and demonstrate initiative when required.
  • Ability to handle stress and maintain composure in a fast-paced environment.
  • Professional attitude and appearance with a client-focused approach.
