Quill Communications is looking for a detail-oriented, dynamic, and highly organized Events Coordinator to join our growing team. If you thrive in fast-paced environments, love bringing ideas to life, and enjoy coordinating multiple moving parts flawlessly, we want to meet you!

Key Responsibilities Event Logistics & Coordination
  • Coordinate all event details from planning to execution.
  • Manage bookings forhotels, flights, transportation, and accommodation for staff, clients, and guests.
  • Create and manageevent schedules, timelines, and checklists.
  • Source, negotiate, and maintain relationships with suppliers.
  • Ensure timely delivery of materials, equipment, and services.
  • Follow up on quotations, invoices, and service agreements.
  • Prepare financial reports, cost sheets, and event budgets.
  • Track expenses and ensure events stay within approved budgets.
  • Process purchase requests and maintain accurate documentation.
Cross-Department Coordination
  • Serve as the communication bridge between theevents teamand other internal departments (creative, production, finance, PR, content, etc.).
  • Ensure all teams are aligned on event requirements and schedules.
  • Provide updates and reports to management as needed.
On-Site Event Support
  • Assist with event setup, registration, client hospitality, and overall event flow.
  • Troubleshoot issues and ensure smooth execution.
Qualifications & Skills
  • Bachelor’s degree in Events Management, Marketing, Communications, or related field.
  • 1–3 years of experience in events coordination or similar role.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Ability to work under pressure and manage tight deadlines.
  • Knowledge of travel bookings (hotels, flights) is a strong advantage.
  • Proficiency in MS Office (Excel, Word, PowerPoint).
  • A proactive, resourceful attitude with a passion for events.
