Receptionist & Parent Liaison Officer – Regent International School

We are looking to appoint an experienced and enthusiastic Receptionist & Parent Liaison Officer for Regent International School.

Responsibilities
  • Answer, screen and forward incoming phone calls while providing basic information.
  • Provide office support services to ensure efficiency and effectiveness within the school.
  • Liaise, communicate and nurture enrolled family relationships as per the lifecycle of school engagement.
  • Maintain open lines of communication with existing parents, addressing concerns, complaints and compliments, handling feedback effectively, efficiently and in a timely manner, escalating to relevant SLT members and scheduling touch‑base meetings as required.
  • Act as the first point of contact for all parental complaints, monitoring, following up and escalating concerns as required.
  • Maintain communication with existing parents, handling queries and acting as liaison between school personnel and departments.
  • Coordinate parent/community events to engage parents in school activities and celebrations.
  • Assist in the induction process through introduction by welcome packs and regular touch‑base calls.
  • Be versed in the rules and regulations of the Ministry of Education and KHD.
  • Attend weekly FOSS/FRISS meetings to identify queries, concerns and conduct workshops and intervention sessions.
  • Monitor, screen and/escalate all complaints.
  • Answer all enquiries, process requests and log information for walk‑in inquiries onto the CR system.
  • Notify colleagues in the school of visitor arrivals (e.g., admissions, SLT).
  • Welcome and engage prospective parents and visitors, addressing needs such as drop‑off, early pickup, lateness, etc.
  • Filter and redirect incoming queries and concerns to appropriate members regarding academic and operational policies, protocols and processes; communicate on matters such as age‑appropriate placement, curriculum options, tuition fees, sanctions, COVID HSE, medical, maintenance, bus, non‑English speakers and special interest groups, academic events, productions and trips.
  • Physically usher new families to their next engagement in admissions, induction and departure processes.
  • Coordinate existing student transitions with relevant phases.
  • Support GLO on new student KHDA registration and procure required documentation.
  • Assist the admissions team on responsibilities and record‑keeping, including:
    • Back‑end data entry on the family (student) profile into various systems (CRM/SIMS/VLE).
    • Data entry of information from digital forms (entrance assessment form, scholarship form, etc.).
  • Record keeping and compliance – use and update registers for student attendance, evacuation, absences and approvals, lateness, early pick‑ups, etc.
  • Conduct call, email and survey campaigns with existing families; undertake regular surveys of new parent views on the enrolment process and other subjects of relevance, working with the marketing team to devise marketing and communication strategies for prospective parents at all stages of the admissions cycle.
  • Alert the Head of Phase / Principal to take necessary action on families with possible withdrawal intention.
  • Support FCO Marketing by using relevant digital forms to update Dubai Schools Market study.
  • Conduct family exit interviews through initial meetings or phone calls.
  • Receive and sort daily mail, deliveries and courier.
  • Maintain security by following procedures and controlling access (monitor logbook, issue visitor badges).
  • Update appointment calendars and schedule meetings.
Qualifications
  • Bachelor’s degree in any discipline.
  • Good written and oral communication skills.
  • Bi‑lingual candidates with the ability to speak Russian or an additional language (advantage).
  • Excellent customer service and negotiation skills, and a flair for numbers.
  • Functional computer skills are required.
