Position SummaryWe are seeking a skilled and dynamic Senior Business Administrator to join our team. As a Business Administrator, you will play a vital role in ensuring smooth and efficient operation. You will be responsible for overseeing various administrative tasks, managing daily operations, and providing support to our staff and clients. The ideal candidate will possess exceptional organizational skills, a strong attention to detail, and the ability to manage multiple tasks effectively in a fast-paced environment.
Responsibilities- Manage day-to-day office administration, including reception services, visitor handling, calls, emails, correspondence, meetings, and records management.
- Ensure office facilities are well maintained, organised, and operational at all times.
- Maintain, monitor, and update the office asset register, ensuring assets are tracked, stored, and deployed in line with company policy.
- Manage office supplies, equipment, and facilities services, coordinating with landlords, building management, and external vendors.
- Support stock checks, audits, and asset verification activities.
- Execute and monitor site-level administrative and workplace budgets, ensuring spend aligns with approved forecasts and end-of-year targets.
- Process invoices, expenses, and purchase requests, working closely with Finance to ensure accurate and timely reporting.
- Coordinate travel arrangements and accommodation for staff as required.
- Support HR administration, including onboarding, offboarding, and maintenance of employee records.
- Act as a point of contact for general workplace and office-related queries.
- Organize and support team activities, office events, and engagement initiatives that enhance employee experience and collaboration.
- Liaise with internal stakeholders and external partners, ensuring clear and timely communication.
- Support adherence to company policies, procedures, and local compliance requirements.
- Assist with regional administrative and workplace initiatives across EMEA.
- Bachelor’s degree in Business Administration, Management, or a related field.
- 3+ years experience in a similar administrative/workplace management role.
- Background in Facilities management, is a strong plus.
- Strong organizational abilities with a keen eye for detail. Ability to prioritize tasks, meet deadlines, and manage multiple projects simultaneously.
- Excellent verbal and written communication skills. Ability to effectively interact with individuals at all levels of the organization, as well as external stakeholders.
- Proficient in using office productivity software such as Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant tools. Experience with data management and reporting software is a plus.
- Strong analytical and problem-solving skills. Demonstrated ability to think critically, identify issues, and propose effective solutions.
- Ability to thrive in a fast-paced and dynamic work environment. Flexibility to handle changing priorities and willingness to take on new responsibilities as needed.
- Demonstrated integrity and ability to handle sensitive information with confidentiality and professionalism.
