Job Description
The Senior Document Controller is a key role responsible for managing and overseeing the lifecycle of documents within the organization. This position ensures that all company documentation is maintained according to required standards and is easily accessible for reference and use. The Senior Document Controller will be responsible for the integrity, accuracy, and consistency of all documents, facilitating the seamless flow of information and aiding in effective decision‑making processes.
The ideal candidate will have a strong grasp of document control procedures, excellent organizational skills, and a keen eye for detail to ensure compliance and enhance productivity within the company. Additionally, this role may involve mentoring and developing other team members, contributing to the establishment of best practices across projects.
- Develop and maintain a comprehensive document control system for the organization.
- Coordinate with department heads to ensure timely document submissions and reviews.
- Ensure that all documents are version‑controlled and easily accessible to stakeholders.
- Review documents for accuracy and compliance with company and industry standards.
- Implement and maintain document control policies, procedures, and best practices.
- Provide training and guidance to staff on document control procedures and systems.
- Facilitate efficient document retrieval to meet project and stakeholder requirements.
- Oversee the transition of manual documents to electronic systems for better efficiency.
- Conduct regular audits to ensure the integrity of the document management system.
- Collaborate with IT teams to enhance document management software capabilities.
- Track and manage the distribution of documents to the appropriate personnel.
- Prepare reports on document control activities and system performance metrics.
- Bachelor's degree in Business Administration, Information Management, or a related field.
- Minimum of five years experience in a document control or related role.
- Strong understanding of document control processes and industry standards.
- Proficiency in document management software and related IT systems.
- Excellent organizational and multitasking skills with attention to detail.
- Outstanding communication and interpersonal skills to foster team collaboration.
- Ability to mentor junior team members and provide leadership within the department.
