Job Description

The Receptionist Cum Administrative Assistant plays a pivotal role in the efficient operation of any organization. They serve as the first point of contact for visitors and callers, providing a friendly and professional impression. This role combines traditional receptionist duties with a range of administrative support functions, ensuring the smooth and effective management of the office. The ideal candidate will demonstrate excellent communication skills, an ability to multitask, and a proactive approach to handling a wide array of responsibilities.

Flexibility, organization, and a welcoming demeanor are crucial, as is the capability to manage sensitive and confidential information with discretion. As the face of the organization, the Receptionist Cum Administrative Assistant must maintain a high level of professionalism at all times while contributing to a positive and productive work environment.

Responsibilities
  • Greet visitors and manage inquiries courteously and professionally at all times.
  • Answer, screen, and direct incoming phone calls and take messages as needed.
  • Maintain a tidy and welcoming reception area to uphold company standards.
  • Coordinate and schedule meetings, appointments, and conference room bookings efficiently.
  • Perform general administrative support tasks such as filing, data entry, and record keeping.
  • Assist with the coordination of mail distribution and courier services as required.
  • Handle administrative requests and queries from senior managers effectively and timely.
  • Facilitate the onboarding process for new employees by preparing necessary materials.
  • Support in planning and executing company events, meetings, and training sessions.
  • Manage office supplies inventory and place orders to maintain stock levels adequately.
  • Oversee the maintenance of office equipment and handle minor troubleshooting issues.
  • Collaborate with various departments to provide comprehensive administrative assistance.
Requirements
  • Proven experience as a receptionist or in a relevant administrative role.
  • Excellent verbal and written communication skills in English are essential.
  • Strong organizational and multitasking abilities to handle diverse responsibilities.
  • Proficiency in Microsoft Office Suite and office management software applications.
  • Exceptional customer service skills and a professional presentation at all times.
  • Ability to work independently, as well as part of a team, in dynamic environments.
  • High level of personal integrity and the ability to manage confidential information.
