Job Summary
We are seeking an experienced and highly organized Office Manager with at least 5 years of UAE experience. The ideal candidate must have strong knowledge of trade license renewals, new office setup, HR support, and overall office administration.
The candidate should be capable of handling government-related processes, managing daily office operations, travel booking, supporting relevant HR functions, and organizing company events and employee engagement activities.
Key Responsibilities 1. Government & Legal Coordination- Manage trade license renewals, amendments, and related documentation
- Coordinate with DED, Free Zones, Municipality, and other authorities
- Maintain and update all company legal documents
- Manage complete new office setup including:
- Office lease and Ejari
- Utilities setup (electricity, water, internet)
- Furniture procurement and office fit-out coordination
- Oversee daily office operations and ensure smooth workflow
- Develop and maintain office policies and procedures
- Maintain organized filing systems
- Coordinate with vendors, suppliers, and service providers
- Negotiate contracts and manage supplier agreements
- Monitor maintenance services and facility management
- Handle Annual Maintenance Contracts (AMC) for IT, office equipment, etc.
- Ensure office cleanliness, safety, and proper functioning
- Monitor and control office expenses
- Maintain petty cash and expense records
- Process invoices and coordinate with the accounts department
- Assist in budgeting and cost management
- Maintain proper documentation of payments and contracts
- Organize company events such as:
Annual parties, Team-building activities, National Day celebrations, Corporate meetings and gatherings, Coordinate employee engagement initiatives, Manage event logistics (venue booking, catering, décor, materials) - Support internal communications and employee welfare programs
- Manage meeting room bookings and office scheduling
- Arrange business travel (flights, hotels, transportation)
- Coordinate corporate bookings and reservations
- Handle internal request tracking systems (RTS)
Skills & Qualifications
- Minimum 5+ years experience in UAE as Office Manager or Admin Manager
- Strong knowledge of UAE government procedures and regulations
- Excellent organizational and multitasking skills
- Strong communication skills
- Proficient in MS Office (Word, Excel, Outlook)
- Ability to work independently
