The Sales Administrator cum Receptionist will be the first point of contact for clients and visitors, while also providing comprehensive administrative support to the sales team.
This role ensures smooth coordination of sales documentation, client inquiries, and office reception duties to enhance customer experience and support the company’s real estate operations.
- Greet and assist clients, visitors, and partners while maintaining a professional reception area.
- Answer, screen, and forward phone calls and emails, and manage correspondence and deliveries.
- Prepare sales proposals, presentations, contracts, and documentation such as reservation forms, Sales & Purchase Agreements (SPAs), brokerage agreements, and NOCs.
- Prepare and process brokerage agreements with agents and agencies in line with company policies.
- Coordinate with finance, legal, marketing, and project registration teams to support smooth sales transactions.
- Maintain and update client databases and CRM systems.
- Track client payments, issue receipts, and follow up on outstanding balances.
- Prepare reports on sales activities, leads, and conversions for management.
- Respond to client inquiries regarding projects, availability, and payment plans.
- Schedule and confirm meetings, property viewings, and events.
- Assist in organizing property launches, open houses, and marketing events.
- Support marketing campaigns and distribute promotional materials.
- Manage office supplies, filing, scanning, and general administrative duties as assigned.
- Bachelor’s degree in Business Administration, Marketing, or related field (preferred).
- 2–3 years of experience in sales administration or reception,
preferably within a real estate developer in Dubai
. - Strong knowledge of real estate development processes
, including handling SPAs, brokerage agreements, NOCs, and other RERA-related documentation. - Proficiency in MS Office and CRM systems commonly used in the real estate industry.
- Excellent communication and interpersonal skills with a professional appearance.
