Office Admin Executive

Location: Dubai, UAE

Role Summary

The Office Admin Executive will be responsible for end-to-end administration of office in Dubai. This is a hands‑on role requiring ownership of office operations, compliance coordination, vendor management, and employee support to ensure a smooth, efficient, and compliant workplace environment.

Key Responsibilities
  • Manage daily office operations including facilities, supplies, internet/IT coordination, and workspace readiness.
  • Liaise with free zone/mainland authorities for trade license renewals, visa processing, labor documentation, and government‑related compliance.
  • Coordinate onboarding logistics (workspace setup, laptop allocation, access cards, documentation).
  • Handle vendor management (office lease, facility management, IT support, housekeeping, insurance, telecom).
  • Support payroll inputs, petty cash management, expense tracking, and basic admin budgeting in coordination with Finance.
  • Organize team meetings, leadership visits, and small office events.
  • Maintain employee records and ensure documentation compliance as per UAE regulations.
  • Manage travel bookings, event coordination, VISA support, guest house management and other logistics support for Dubai.
Ideal Profile
  • 4–5 years of UAE experience in office administration (preferably in startup/SME environment).
  • Strong knowledge of UAE visa processes and corporate compliance.
  • Valid Driving License for UAE
  • Good command over English
  • Hands‑on, proactive, and comfortable managing multiple responsibilities independently.
  • Good coordination skills with HR, Finance, and external vendors.
