We’re currently working on an exciting opportunity for a Company Secretary Assistant to join a well-established, regionally active group in Dubai. Relocation support is available for expats considering a move to the UAE.

This role reports to the Group Company Secretary and provides support across the Director’s Office, Group Company Secretary’s Office, ensuring high-quality corporate governance and company secretarial administration across all relevant subsidiary boards and committees.

Key Responsibilities
  • Support drafting and review of board/committee meeting agendas.
  • Collate and distribute company reports and board/committee materials via Diligent Board Books.
  • Maintain structured document libraries on Diligent Board Books with accurate filing and version control.
  • Assist with statutory filings and preparation/custody of board and shareholder resolutions.
  • Support migration and maintenance of corporate and director information on Diligent Entities.
  • Maintain company stamp, letterhead framework, and records.
  • Support issuance and maintenance of powers of attorney.
  • Maintain operational templates, policies, procedures, and controls for the Company Secretary function.
  • Assist with governance process improvements and ad hoc corporate projects.

Requirements
  • Bachelor’s degree:
    Chartered Governance Institute Associate preferred
  • Minimum 5+ years’ experience as a Company Secretary Assistant
  • Excellent organisational, analytical, and written communication skills
  • Strong interpersonal skills and ability to maintain confidentiality
  • Proficiency with Outlook, Excel, Word, PowerPoint;
    Board portal or legal entity management system experience preferred
